Job Summary
The Senior Human Resources Executive is responsible for managing and overseeing the full spectrum of Human Resources functions, including recruitment, employee relations, payroll, compensation & benefits, HR operations, policy implementation, and compliance. This role works closely with Management and Heads of Departments (HODs) to support business operations, workforce planning, employee engagement, and organizational development initiatives.
Key Responsibilities
HR Operations & Administration
- Manage daily HR operations including attendance, leave administration, employee records, payroll coordination, and HR documentation.
- Ensure proper maintenance of employee personal files, contracts, confirmation letters, transfer letters, promotion letters, and other HR-related documentation.
- Monitor attendance, overtime (OT), public holidays, rest days, shift schedules, and allowances.
- Maintain and update HRIS and employee databases accurately.
- Ensure smooth onboarding and offboarding processes for employees.
Recruitment & Talent Acquisition
- Manage the full recruitment process including job posting, sourcing, screening, interview coordination, offer preparation, and onboarding.
- Work closely with HODs to understand manpower requirements and hiring needs.
- Coordinate interview arrangements and follow up with candidates throughout the hiring process.
- Support employer branding and recruitment initiatives to attract suitable talent.
- Monitor recruitment progress and maintain recruitment reports.
Employee Relations & Industrial Relations
- Maintain a positive and professional working environment through effective employee engagement and communication.
- Handle employee inquiries, grievances, counselling, and conflict resolution professionally.
- Manage disciplinary matters including warning letters, show-cause letters, investigations, and related documentation in accordance with Company policies and labor laws.
- Support Management in handling industrial relations matters and employee disciplinary cases.
- Liaise with external authorities and agencies when required.
Compensation & Benefits
- Coordinate payroll processing and ensure salary payments are accurate and timely.
- Manage statutory contributions and compliance matters with Employees Provident Fund (EPF), PERKESO, Inland Revenue Board of Malaysia (LHDN), and related authorities.
- Assist in salary review exercises, increment proposals, bonus administration, and promotion processes.
- Administer employee claims, benefits, leave entitlements, and allowances.
HR Policies & Compliance
- Assist in developing, implementing, and improving HR policies, SOPs, and employee handbook.
- Ensure compliance with Malaysian labour laws, statutory requirements, and Company policies.
- Support internal HR audits and maintain proper HR governance practices.
- Keep updated with changes in employment laws and HR best practices.
Organizational Development & Employee Engagement
- Support employee engagement activities and internal HR initiatives.
- Assist in training coordination, performance management, and employee development programs.
- Promote a positive, collaborative, and high-performance working culture.
- Support organizational improvement and change management initiatives when required.
General Responsibilities
- Maintain strict confidentiality of employee and company information.
- Prepare HR reports and related documentation as required by Management.
- Perform any other HR-related duties assigned by Management from time to time.
Job Requirements
- Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.
- Minimum 3–5 years of relevant HR working experience in full-spectrum HR functions.
- Experience in payroll, recruitment, employee relations, and HR operations is required.
- Experience in handling disciplinary matters and labour law compliance will be an added advantage.
- Experience in retail, F&B, manufacturing, or fast-paced working environments is preferred.
- Good command of English and Bahasa Malaysia (spoken and written); Mandarin is an added advantage.
- Strong communication, interpersonal, and problem-solving skills.
- Good organizational and multitasking abilities.
- Proficient in Microsoft Office applications and HR systems/software.

Pay: RM5,000.00 - RM6,000.00 per month
