Job Description

Responsibilities

Key Responsibilities

1. Air & Sea Freight Operations

  • Handle daily air and sea freight import/export shipments.
  • Arrange bookings with airlines, shipping lines, co-loaders and overseas agents.
  • Coordinate cargo collection, warehouse receiving, container trucking and final delivery.
  • Monitor booking confirmation, cargo readiness, vessel/flight schedules, cut-off times and shipment status.
  • Prepare and check shipping instructions and operational documents.
  • Follow up closely on transhipment and connecting shipments.
  • Ensure shipments are executed according to customers' SOPs and agreed service requirements.

2. Documentation

  • Prepare and verify HAWB/HBL, MAWB/MBL, shipping instructions, manifests, delivery orders and other shipping documents.
  • Check Commercial Invoice, Packing List and other supporting documents for operational requirements.
  • Ensure documentation is completed accurately and within airline/shipping-line cut-off times.
  • Coordinate document amendments when required.
  • Maintain proper shipment records and filing.

3. Customs & Permit Coordination

  • Coordinate import, export and transhipment permit declarations.
  • Provide complete and accurate information to the declaring team/agent.
  • Check permit status before cargo collection, delivery or export where applicable.
  • Ensure supporting documents are available for customs clearance.
  • Escalate permit or regulatory issues promptly.

4. Shipment Monitoring & Customer Service

  • Provide customers with timely shipment status updates.
  • Proactively monitor shipments instead of waiting for customers to request updates.
  • Follow up on vessel delays, flight delays, rollovers, offloads, transhipment connections and other exceptions.
  • Inform customers immediately of any potential delay and provide alternative solutions where possible.
  • Handle customer enquiries and operational issues professionally.
  • Follow through on problems until they are fully resolved.

5. Costing & Job Closing

  • Ensure costing and selling rates are correctly entered into the operating system.
  • Verify vendor charges and identify unexpected costs.
  • Record additional charges such as waiting time, detention, demurrage, storage and additional trips.
  • Ensure all chargeable items are billed to customers where applicable.
  • Complete job costing and close files promptly after shipment completion.
  • Submit supporting documents to Finance for billing and vendor payment.

6. DG & Special Cargo

  • Coordinate Dangerous Goods shipments where required.
  • Check DG declarations, SDS and supporting documents before shipment acceptance.
  • Ensure airline/shipping-line acceptance requirements are fulfilled.
  • Coordinate reefer, oversized, overweight or other special cargo where applicable.
  • Escalate regulatory or safety concerns before proceeding with the shipment.


Working Requirements

  • Able to work in a fast-paced freight forwarding environment.
  • Able to manage multiple shipments and deadlines simultaneously.
  • Willing to provide operational support outside normal working hours for urgent shipments when necessary.
  • Able to respond promptly to shipment exceptions and customer requirements.


Requirements

  • Diploma / Higher NITEC / NITEC in Logistics, Supply Chain, Business or related discipline.
  • Preferably 2–3 years of freight forwarding experience.
  • Experience handling air and/or sea freight import/export operations is preferred.
  • Knowledge of shipping documentation, Incoterms and freight forwarding procedures.
  • Familiarity with Singapore Customs/TradeNet procedures will be advantageous.
  • DG knowledge or relevant DG certification will be an advantage.
  • Proficient in Microsoft Office and freight forwarding/operating systems.
  • Good written and verbal communication skills.
