Admin Executive
Position Summary
We are seeking an organized, proactive Admin Executive to oversee office operations, manage assets, and coordinate administrative services. You will ensure smooth workflows, maintain accurate records, manage vendor relations, and drive cost-saving office improvements.
Key Responsibilities
Asset & Inventory Management: Maintain master asset databases (furniture, fittings, equipment) and asset tagging. Conduct annual physical audits and manage a secure key inventory system.
Facilities & Maintenance: Coordinate repairs, preventative maintenance, and office renovations within budget. Supervise cleaning, pest control, and safety compliance (fire extinguisher servicing/licensing).
Insurance Administration: Prepare and track insurance claims to resolution. Maintain policy records and ensure timely renewals for uninterrupted coverage.
Financial & Payment Processing: Process payment vouchers for utilities, telecoms, leases, and supplies. Analyze admin expenses to propose cost-saving solutions while keeping audit-ready files.
Vendor & Procurement: Source, evaluate, and negotiate with vendors for optimal SLAs and pricing. Conduct monthly stock counts for stationery/sundries and manage uniform procurement and disposal
General Administration: Act as the primary contact for staff admin feedback and vendor issues. Handle day-to-day office administrative tasks and support ad-hoc projects.
Job Requirements
Education: Degree/Diploma in Business Administration, Management, or equivalent.
Experience: 1–2 years in office administration, facility coordination, or asset management.
Skills: High proficiency in MS Office (Excel, Word, PowerPoint); digital database experience is a plus. Excellent written and spoken English.
Competencies: Strong organizational and problem-solving skills, high integrity, independent, and capable of prioritizing tasks under tight deadlines
