Position Summary


We are seeking a proactive and resourceful Senior Executive, Human Resources & Administration to support the HR Director in managing the full spectrum of HR operations, employee engagement, employee and employer relations, HR policies and processes, and office administration.


The successful candidate will play an important role in ensuring effective HR service delivery, fostering positive employee relations, maintaining sound HR governance and supporting efficient day-to-day office operations.


This is a hands-on role requiring strong organisational capabilities, discretion, sound judgement and the ability to work independently in a dynamic corporate environment.


Work Location: Suntec Tower, Singapore


Key Responsibilities


1. Human Resources Operations & Employee Lifecycle

  • Manage day-to-day HR operations covering onboarding, probation, confirmation, transfers, promotions and offboarding.
  • Prepare employment contracts, appointment letters, HR correspondence and employee documentation.
  • Maintain accurate employee records, personnel files and HR information systems.
  • Administer employee leave, attendance and other HR administrative matters.
  • Coordinate work pass applications, renewals and cancellations where applicable.
  • Respond to employee enquiries and ensure timely resolution of HR operational matters.


2. Recruitment & Talent Acquisition

  • Coordinate end-to-end recruitment activities, including job postings, candidate sourcing, interview arrangements and offer administration.
  • Liaise with hiring managers, recruitment agencies and external service providers.
  • Conduct initial candidate screening and coordinate reference and background checks where required.
  • Organise new employee orientation and onboarding programmes.
  • Maintain recruitment trackers, candidate databases and hiring reports.


3. Employee Engagement & Organisational Culture

  • Support the HR Director in developing and implementing employee engagement initiatives to strengthen workplace culture and employee experience.
  • Organise employee engagement activities, staff events, recognition programmes and internal communications.
  • Coordinate employee feedback exercises, engagement surveys and follow-up action plans.
  • Promote positive working relationships, teamwork and collaboration across the organisation.
  • Support employee wellbeing initiatives and programmes that foster an inclusive and supportive workplace.
  • Assist in communicating company values, organisational changes and HR initiatives to employees.


4. Employee & Employer Relations

  • Serve as an initial point of contact for employee enquiries, concerns and workplace-related matters.
  • Support the HR Director in managing employee relations cases, grievances, disciplinary matters and workplace conflicts.
  • Assist in conducting fact-finding exercises, documenting employee relations cases and coordinating appropriate follow-up actions.
  • Support performance management, probation reviews and performance improvement processes.
  • Facilitate effective communication between management and employees to promote mutual understanding and positive working relationships.
  • Maintain confidential and accurate documentation relating to employee relations matters.
  • Ensure employee relations practices are consistent with company policies and applicable employment legislation.


5. Office Administration & Facilities Management

  • Oversee daily office administration to ensure a professional, efficient and well-maintained workplace.
  • Manage office supplies, equipment, stationery, inventory and general procurement requirements.
  • Liaise with Suntec Tower building management, contractors and vendors on facilities maintenance, repairs and office services.
  • Coordinate office access cards, security arrangements, housekeeping and workplace safety matters.
  • Administer office service agreements, subscriptions and vendor contracts as assigned.
  • Manage incoming correspondence, couriers, document filing and general administrative services.
  • Coordinate meeting arrangements, corporate events, travel bookings and accommodation where required.
  • Support office relocation, renovation and facilities improvement projects when necessary.


6. Corporate & Executive Administrative Support

  • Provide administrative and coordination support to the HR Director and senior management.
  • Prepare reports, presentations, management papers and confidential correspondence.
  • Coordinate administrative matters involving the company's investment entities, subsidiaries and external stakeholders where required.
  • Liaise with external professional service providers and corporate vendors.
  • Maintain organised corporate and administrative records in accordance with company governance and confidentiality requirements.



Candidate Requirements


Education & Experience

  • Diploma or Bachelor's degree in Human Resources, Business Administration or a related discipline.
  • At least 3–5 years of relevant experience in a broad-based HR and administration role.
  • Experience in an investment holding company, family office, financial services firm or corporate headquarters would be advantageous.
  • Practical knowledge of Singapore employment legislation, HR policies, employee relations and HR administration.
  • Demonstrated experience in recruitment, employee engagement, HR operations and office administration.


Skills & Competencies

  • Strong organisational, multitasking and time-management capabilities.
  • Good interpersonal and communication skills, with the ability to engage effectively with employees and senior management.
  • Sound judgement, discretion and the ability to handle sensitive employee and corporate information.
  • Strong attention to detail and ability to maintain accurate documentation.
  • Proficient in Microsoft Office, particularly Excel, Word and PowerPoint.
  • Familiarity with HR information systems and digital administrative tools.
  • Resourceful, proactive and service-oriented, with a hands-on approach to problem-solving.
  • Ability to work independently and manage multiple priorities in a lean corporate environment.
