KEY RESPONSIBILITIES
CEO & Executive Support (~60%)
- Manage the CEO's calendar, appointments, and daily schedule, proactively resolving conflicts and prioritising his time.
- Coordinate all travel arrangements — flights, accommodation, visas — for the CEO's regular trips between Singapore, Vietnam, and other regional offices.
- Be prepared to travel overseas with or on behalf of the CEO for client meetings, partner visits, and business trips as needed, including on short notice.
- Prepare for and accompany the CEO to meetings and conferences as needed; take minutes and produce clear, actionable summaries (including using AI meeting-transcription tools).
- Screen and manage the CEO's correspondence, email, and incoming requests, responding or escalating based on the CEO's priorities.
- Handle confidential and sensitive information (contracts, payment approvals, corporate documents) with discretion.
- Liaise with internal and external stakeholders — vendors, partners, building management — on the CEO's behalf.
- Support ad-hoc projects and administrative matters as directed by the CEO.
Human Resources (~40%)
- Manage end-to-end recruitment for the Singapore office — job postings, sourcing, screening, interview coordination, offer negotiation, and onboarding.
- Process monthly payroll accurately and on time, including CPF contributions, allowances, overtime, and deductions.
- Maintain accurate employee records, HR databases, and personnel documentation.
- Handle employee relations matters — queries, disputes, disciplinary matters — with professionalism and confidentiality.
- Develop and maintain HR policies and the employee handbook, keeping them aligned with MOM guidelines.
Office Administration & Culture
- Oversee day-to-day office operations, including procurement, vendor management, and facility upkeep.
- Plan and execute team-building activities, company events, and employee engagement initiatives
- Drive employee engagement and morale-boosting initiatives — e.g. birthday/anniversary celebrations, recognition programme, casual team activities
- Support HR and administrative budget tracking and reporting.
QUALIFICATIONS & REQUIREMENTS
- Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
- At least 2–3 years of experience in HR generalist work, executive/administrative support, or a combination of both.
- Prior experience directly supporting a senior leader (CEO, Director, COO) — e.g. calendar, travel, meeting support — is highly advantageous.
- Willing and able to travel overseas with the CEO as needed (e.g. to Vietnam or other regional markets) for client and partner meetings; must hold a valid passport.
- Hands-on experience with Singapore payroll processing, CPF administration, and work pass applications (EP/S Pass/WP) is highly advantageous.
- Excellent written and verbal communication — able to represent the CEO professionally with internal and external stakeholders.
