Responsibilities

Role Overview


The Sponsorship Fulfilment Manager (12 months contract role) is responsible for managing confirmed sponsors and ensuring that all contracted sponsorship rights, benefits, exhibitor booth requirements, and deliverables are executed accurately and to a high standard.

This is a delivery-focused role and does not involve sponsorship prospecting, sales, or commercial negotiation. The Sponsorship Fulfilment Manager will act as the primary day-to-day contact for confirmed sponsors, coordinating closely with the client, internal teams, venues, vendors, and event partners throughout the planning and delivery process.

The role requires a highly organised, detail-oriented professional who can manage multiple stakeholders, deadlines, and deliverables in a fast-paced event environment.


Key Responsibilities:


Sponsor Onboarding and Account Management

  • Serve as the primary day-to-day contact for confirmed sponsors from onboarding through to post-event reporting.
  • Review sponsorship agreements and translate contracted rights and benefits into clear fulfilment plans, timelines, and deliverables.
  • Conduct sponsor onboarding meetings to confirm objectives, booth requirements, key contacts, deadlines, and approval processes.
  • Provide sponsors with regular updates, clear guidance, and responsive support throughout the event lifecycle.
  • Build strong relationships with sponsors by delivering a professional, high-touch service and a positive event experience.
  • Manage sponsor expectations carefully and escalate potential risks, delays, or requests outside the agreed scope.


Sponsorship Fulfilment and Coordination

  • Maintain a detailed sponsorship fulfilment tracker covering all contracted benefits, exhibitor booth requirements, submission deadlines, approvals, dependencies, and completion status.
  • Coordinate the collection of sponsor assets, including logos, advertisements, speaker information, presentation materials, booth designs, activation plans, guest lists, and other required content.
  • Ensure sponsor materials and booth submissions comply with event specifications, brand guidelines, venue regulations, production requirements, and agreed timelines.
  • Coordinate sponsorship benefits such as branding, exhibition space, speaking opportunities, hospitality, digital exposure, delegate passes, and promotional activations.
  • Coordinate exhibitor booth requirements, including booth allocation, design submissions, and other operational needs.
  • Liaise with sponsors, booth contractors, venues, and appointed suppliers to manage booth production, technical requirements, and approvals.
  • Work closely with creative, marketing, content, production, operations, registration, and venue teams to ensure sponsor and exhibitor requirements are incorporated into event plans.
  • Manage internal and external approvals for sponsor-related content, branding, booth designs, and activations.
  • Conduct regular checks to confirm that all sponsorship commitments and booth requirements are progressing as planned.


Event Production and On-Site Delivery

  • Translate sponsorship commitments—including booth space, branding, speaking slots, hospitality, and activations—into clear production and operational requirements.
  • Coordinate sponsor- and exhibitor-related logistics across the event production timeline, ensuring accuracy, consistency, and quality of execution.
  • Prepare sponsor briefing materials, exhibitor guidelines, schedules, contact lists, and on-site fulfilment checklists.
  • Coordinate booth setup requirements, exhibitor access, contractor arrangements, and build-up and breakdown schedules.
  • Support sponsor and exhibitor setup, rehearsals, speaker coordination, and activation readiness ahead of the event.
  • Manage the on-site sponsor and exhibitor experience and ensure that contracted deliverables are fulfilled.
  • Resolve sponsor- and exhibitor-related issues promptly and professionally, working with the appropriate internal teams, venues, and suppliers.
  • Conduct on-site checks of sponsor branding, exhibitor booths, activations, and other contracted benefits.


Reporting and Post-Event Follow-Up

  • Provide regular status reports covering fulfilment progress, outstanding actions, dependencies, and account or delivery risks.
  • Maintain accurate documentation of sponsor communications, booth requirements, approvals, changes, and completed deliverables.
  • Compile evidence of fulfilment, including photographs, attendance information, digital metrics, and other relevant records.
  • Support the preparation of post-event sponsor reports and fulfilment summaries.
  • Gather sponsor and exhibitor feedback and document recommendations to improve future sponsorship programmes and event delivery.


Qualifications and Experience

  • Strong experience in sponsorship fulfilment, sponsor servicing, exhibitor management, account management, or event delivery.
  • Demonstrated experience managing sponsorship programmes and exhibitor booths for conferences, exhibitions, or large-scale events.
  • Good understanding of exhibition production, booth requirements, and venue regulations.
  • Excellent project-management and organisational skills, with strong attention to detail.
  • Ability to interpret sponsorship agreements and convert them into practical delivery plans.
  • Strong stakeholder-management and communication skills, including experience working with senior representatives.
  • Able to work independently while collaborating effectively with clients, internal teams, agencies, venues, contractors, and suppliers.
  • Calm, solutions-focused, and comfortable working under pressure in a fast-paced event environment.
  • Proficient in maintaining trackers, timelines, status reports, and fulfilment documentation.
  • Experience with financial services or FinTech events would be an advantage.


Contract Terms

  • Duration: 12 months
  • Work location: Client’s office, on-site up to four days per week, supplemented by travel for events
  • Reporting line: Dual reporting to the client and the General Manager of AMC Asia
