Job Types: Full-time / Part-time
Position Summary:
Front Office Assistant responsible for guest registration, guest check-out and cashiering. The position is also responsible for facilitating or providing assistance in case of guest queries/requests. The Associate shall provide efficient service to guests at the Front Desk and ensure implementation of policies and procedures in line with the standards of LEGOLAND Hotel Malaysia.
Scope and Responsibilities:
· Checks house status - check supplies to ensure that stock is sufficient for the expected business within the covered shift and/or for the day.
· Obtains briefing from previous shift on outstanding matters requiring further attention.
· Prior to arrivals, prepares all needed documents (registration forms, vingcards, welcome folders, etc.) to facilitate check-in.
· Performs check-ins and check-outs efficiently, ensuring guests’ satisfaction.
· Acknowledges and welcomes guests as soon as guest approaches the desk.
· Assists guests in completing registration form, reviewing entries to ensure important details are included.
· Directs guests to appropriate lifts and coordinates with Concierge staff to bring guests to the room.
· Performs cashiering functions efficiently, ensuring guests’ satisfaction.
· Handles any relocation pledges and follows through.
· Print shift reports.
· To check in guests according to procedure.
· To handle room keys (Intego System) according to the procedures.
· To take room reservation at the counter or on the telephone.
· To work closely with the Housekeeping Dept. Informs Housekeeping of early check-ins or late check-outs.
· To extend fullest co-operation to working colleagues and to coordinate and work closely with the Guest Service Manager, Concierge, Front Desk and Bell Service.
· To prepare registration card, park tickets and all relevant materials for FIT guests and groups before their arrival.
· To be alert and ready without any delay at all times to provide immediate attention for approaching guest. To answer telephone calls promptly but courteously. Never let the telephone ring more than three times.
· To be discreet when giving guests names and room numbers over the counter or through the telephone conversation.
· To grant credit as per credit control procedures and process credit card according to company policies and procedures.
· To attend departmental meeting and training programmes when requested by the management.
· Reports to GSM of guests’ complaints immediately. However, should handle minor ones so as not to delay the guests at the counter.
· Responsible for the cash floats, also responsible for any cash shortage or unsettled amount due to their negligence.
· To post outlet charges which are not updated to the room accounts as soon as they are received and to ensure that all calls are properly charged.
· To receive and post to the appropriate folio of all cash received in payment of room accounts.
· To have proper records and post to the appropriate folio all cash received in payment of room accounts.
· To assign safe boxes to guests and observe proper procedure on key control, entry and release of boxes.
· To carry out foreign currency transactions according to established procedures and policies.
· To check out guests and make sure guest settles all bills upon departure.
· To be discreet when giving guest’s names and room numbers over the counter or through telephone conversations.
· It is totally familiar with the Front Desk (Reception /Cashiering) back-up procedures in the event that any Front Office Equipment malfunctions.
· Immediately reports and turns over lost and found items, at all times.
· Inform the Guest Service Manager and/ or Security Department if valuables are left in the open. Follow standard procedures in handling this and similar situations at all times.
· To maintain cleanliness of the Service Center at all times.
· To carry out any other related duties as assigned by the immediate supervisor.
Background and Experience:
· A minimum of one (1) year experience in guest service or related role.
· Strong guest service, interpersonal and communication skills are required.
· Knowledge and experience in using Opera system and Microsoft Office Products (Words, Excel, Access and Power Point) is an advantage.
· Bi-lingual ability in oral and writing will be an added advantage.
Education:
A minimum of SPM certificate, Diploma in Hospitality Management or Equivalent.
Additional Information:
· Malaysian.
· Fully vaccinated (14 days after second dose).
· Willing to work flexible hours, including evenings & weekends to support hotel operations.
Job Type: Full-time
Pay: RM1,700.00 per month
