Job Description
We are looking for a detail-oriented and proactive Administrative Assistant to support our project and site operations. The role involves coordinating with site teams, monitoring daily attendance and work updates, maintaining project records, supporting documentation and claims preparation, and ensuring timely submission of reports and required information. The ideal candidate should be organized, responsible and comfortable working with multiple teams in a fast-paced construction environment.
Job Responsibilities
- Monitor and update daily attendance, site arrival times and work commencement times for site teams.
- Ensure site teams provide regular and timely updates on work progress.
- Monitor Operation Supervisors to ensure daily reports and required updates are submitted accurately and on time.
- Update daily work locations and work commencement details in the LTA Prompt System for the respective site teams.
- Follow up with site teams to ensure Daily Work Done Reports (DWDR) are submitted promptly.
- Accurately update and maintain DWDR records in the Taskhub System.
- Assist Project Engineers in preparing and organizing supporting documents for claims, including site records, correspondence, progress reports and manpower records.
- Submit cable detection requests and follow up with relevant parties on the status and approval process.
- Maintain systematic hardcopy and electronic filing of project correspondence, approvals, drawings, reports and other project records.
- Maintain accurate records of site activities, submissions, approvals and related project documentation.
- Follow up with site teams and supervisors on outstanding submissions and pending actions.
- Provide general administrative and coordination support for daily project and site operations.
- Perform any other administrative duties as assigned by the Project Engineer or Project Manager.
Qualifications
- Diploma, ITE or equivalent qualification, preferably in Business Administration, Engineering, Construction Management or a related field.
- 1-2 years of relevant experience in administrative, project coordination or project support roles. Construction or engineering industry experience will be an advantage.
- Basic understanding of project documentation, reporting and claims support processes.
- Good organizational and time-management skills with strong attention to detail.
- Good communication and coordination skills.
- Proficient in Microsoft Office applications, particularly Excel and Word.
- Basic computer skills and willingness to learn internal systems.
- Able to work independently, follow up proactively and manage multiple administrative tasks in a fast-paced project environment.

- Work Schedule: 5-day work week.
