About the Role
We are looking for an organized and responsible HR Assistant to manage daily administrative and office operations, while supporting recruitment and HR-related matters. You will help ensure smooth office operations, coordinate with different departments, and support the company’s hiring activities.
Key Responsibilities
1. Recruitment & HR Support
- Assist in the end-to-end recruitment process, including job posting, candidate screening, interview arrangement, behavioral interviews, reference checks, job offers, onboarding and offboarding.
- Prepare letters relating to staff movement, such as appointment, confirmation, resignation acceptance, promotion and disciplinary action.
- Maintain employee records, attendance, leave, claims and other HR-related documentation.
- Assist in employee-related matters and HR administrative tasks when required.
2. Office & Administrative Operations
- Manage day-to-day office administrative matters and ensure smooth office operations.
- Ensure smooth coordination across departments.
- Maintain proper filing, records and administrative documents.
- Coordinate with building management for delivery arrangements, access cards, car park matters and other office-related enquiries.
3. Office Supplies & Facilities
- Manage office stationery and pantry/snack inventory, including tracking usage and replenishing stock according to the given budget.
- Maintain cleanliness and organization of common office areas, including meeting rooms and pantry.
- Monitor office facilities and follow up on maintenance or office-related matters.
4. Company Activities & Projects
- Provide administrative and logistical support for internal projects, meetings, company activities and events.
- Coordinate with relevant departments and external parties to ensure arrangements are carried out smoothly.
5. Others
- Perform other ad hoc administrative, HR or company-related tasks as assigned.
Who We’re Looking For
- Candidate must possess at least Higher Secondary/STPM/Pre-U/Diploma/Higher in Business Administration, Human Resource or any relevant field.
- Diploma/Higher Diploma or Bachelor’s Degree in Business Administration / Human Resource Management / Business Studies or equivalent is preferred.
- At least 2–3 years of HR or administrative experience.
- Organized, responsible and able to multitask and prioritize work.
- Able to maintain confidentiality and handle employee-related matters professionally.
- Fresh graduates are welcome to apply.
- Language: Mandarin and English. Candidates proficient in Mandarin are preferred to effectively communicate with Mandarin-speaking clients and parties.
Pay: RM3,000.00 - RM4,500.00 per month
