Job Summary
We are looking for a detail-oriented and well-organised Accounts & Administrative Clerk to support the accounts and administrative operations of our clinic group.
This combined role covers daily collections, billing checks, panel claims, accounts receivable, payment reconciliation, record-keeping, purchasing, documentation, and general office administration.
The ideal candidate is responsible, accurate, proactive, and comfortable managing numbers, documents, deadlines, and communications with clinic staff, suppliers, corporate clients, and medical panels.
Key ResponsibilitiesAccounts
- Verify and reconcile daily collections from all clinics
- Review payments received through cash, cards, QR payments, bank transfers, corporate panels, and other payment channels
- Ensure patient charges and billing entries are complete and accurate
- Match bank deposits and payment records with clinic revenue reports
- Track outstanding balances from corporate clients, medical panels, insurance companies, and other payors
- Follow up on overdue payments and maintain accounts-receivable ageing reports
- Prepare invoices, receipts, payment vouchers, and other accounting documents
- Assist with petty cash, staff claims, supplier payments, and expense records
- Assist with bank reconciliation, audit preparation, and requests from the company’s accountant
- Prepare daily, weekly, and monthly accounts reports for management
Panel Claims
- Prepare and submit medical-panel claims by the required deadlines
- Monitor approved, pending, rejected, and delayed claims
- Follow up with panels and insurance companies regarding outstanding claims
- Coordinate with clinic staff to obtain missing documents and correct incomplete submissions
- Maintain accurate and organised claim records
- Help minimise lost revenue caused by incomplete billing, missed claims, or delayed follow-ups
Administration
- Maintain organised digital and physical records of invoices, receipts, payments, claims, contracts, and company documents
- Perform data entry and update internal spreadsheets, reports, and filing systems
- Handle telephone calls, emails, correspondence, and general office enquiries
- Coordinate with clinic staff, suppliers, vendors, corporate clients, accountants, and service providers
- Assist with purchasing and monitor office and clinic supply records
- Prepare letters, forms, reports, meeting notes, and other administrative documents
- Support staff documentation, attendance, leave, and payroll records when required
- Assist management with scheduling, coordination, and operational matters
- Perform other relevant accounts and administrative duties assigned by management
Requirements
- Diploma or degree in Accounting, Business Administration, Office Management, or a related field is preferred
- Previous experience in accounts, billing, collections, administration, insurance claims, or clinic operations is preferred
- Good understanding of basic bookkeeping and administrative procedures
- Proficient in Microsoft Excel, Microsoft Word, and Google Sheets
- Able to work independently and collaborate with staff across multiple clinics
- Honest, dependable, responsible, and able to maintain confidentiality
- Good command of English and Bahasa Malaysia
- Fresh graduates with suitable qualifications are encouraged to apply
