PERSONAL ASSISTANT WANTED

Right hand to a Founder running three brands at once. No two days the same.

The Role

Paul Quinn — Founder & Managing Director of WestportPartners, creator of Quinntessential Coaching, and host of the QuinntessentialQuestions podcast — is looking for a Personal Assistant who can operate as the calm, organised force behind a fast-moving, multi-brand operation.

This is not a keep-the-diary-tidy job. This is a board view of everything — three businesses, one Founder, and a role built for someone dynamic, engaging, and genuinely energised by variety and pace.

We're looking for someone prepared to work long, hard, diligent hours. The role demands commitment — but the reward, in experience, exposure, and growth, will be immense.

What You'll Own

Executive Support

• Fullcalendar, inbox, and priority management across Westport Partners, Quinntessential Coaching, and Quinntessential Questions

• Meeting prep, follow-ups, and keeping Paul one step ahead of his own schedule

• Travel planning and logistics across APAC, the Middle East, and Europe

• Acting ast he first point of contact and gatekeeper, protecting Paul's time and attention

Business &Project Coordination

• Tracking deliverables across executive search mandates, coaching platform launches and podcast production

• Keeping alive board view of everything in flight — deadlines, dependencies, and what needs Paul's attention today

• Liaising with coaches, candidates, clients, and partners on Paul's behalf

• Document prep, light research, and pulling together materials for meetings and pitches

Social Media& Content Production

• Editing and publishing content across Instagram, LinkedIn, and YouTube for all three brands

• Turning raw footage and ideas into polished, on-brand carousels, reels, and short-form video

• Managing the content calendar and posting schedule

• Keeping brand consistency tight across every asset that goes out the door

The Must-Have: Adobe Premiere Pro

You need to know your way around Premiere Pro, specifically:

• Cutting and assembling raw footage into clean, punchy final edits

• Multi-camediting (podcast interviews, talking-head content)

• Color correction and grading for a consistent, professional look

• Audiocleanup, leveling, and syncing

• Adding captions, lower thirds, titles, and on-brand graphic overlays

• Exporting and formatting for different platforms (vertical for Reels/TikTok, horizontal for YouTube, square for feed)

• Organising and managing media libraries, project files, and version control

• Bonus: comfort with Premiere Pro's integration into a wider Adobe workflow (Photoshop, After Effects, Audition)

• Sharp, discreet, and unflappable — you handle a busy Founder's world without breaking sweat

• A natural organiser who can hold ten moving pieces in your head without dropping one

• Comfortable working across time zones and industries — executive search, coaching, and media are very different worlds, and you switch between them fluidly

• Proactive— you spot what needs doing before you're asked

• Agenuinely skilled video editor, not just familiar with Premiere Pro

• Prepared to put in long, hard, diligent hours and to be rewarded for it
