Job Description

Responsibilities

We are seeking an experienced, highly proactive, and commercially minded Senior HR Executive to take ownership of day-to-day HR operations and provide hands-on HR support across the full employee lifecycle.

This role is suited for an HR professional who can operate independently, make sound and timely decisions, manage competing priorities, and navigate complex employee and business situations in a fast-paced environment. The successful candidate will be expected to go beyond transactional HR administration by exercising sound judgment, identifying risks, advising managers, resolving employee matters, and driving continuous improvements in HR processes.

The role will oversee HR operations for an organization of approximately 200 employees, covering HR administration, payroll coordination, attendance and leave management, statutory compliance, employment pass and immigration matters, employee relations, onboarding and offboarding, HR reporting, and office administration.

The ideal candidate will have strong working knowledge of Malaysian employment practices and statutory requirements, excellent attention to detail, strong interpersonal skills, and the confidence to handle sensitive and complex HR matters with discretion and professionalism.

Key Responsibilities1. HR Operations & Administration

  • Take ownership of day-to-day HR operations and ensure HR processes are executed accurately, efficiently, and within established timelines.
  • Prepare, review, and issue employment-related documentation, including:
  • Offer Letters
  • Employment Contracts
  • Confirmation Letters
  • Promotion Letters
  • Salary Adjustment Letters
  • Transfer Letters
  • Warning and disciplinary letters
  • Resignation acceptance letters
  • Employment verification letters
  • Review HR documentation for accuracy, consistency, confidentiality, and compliance with company policies and applicable Malaysian employment legislation.
  • Maintain accurate and complete employee personnel files and HR records.
  • Ensure employee information is accurately maintained in the HRIS and identify discrepancies or data integrity issues.
  • Exercise judgment when handling non-standard HR requests and escalate matters appropriately where legal, compliance, or business risks may arise.
  • Ensure HR processes remain responsive to changing business priorities and employee needs.

2. Employee Lifecycle Management

  • Manage and continuously improve end-to-end employee lifecycle processes from onboarding through offboarding.
  • Coordinate onboarding activities, ensuring new employees receive the required documentation, orientation, access, and support within agreed timelines.
  • Partner with hiring managers and relevant departments to ensure a smooth and professional employee onboarding experience.
  • Monitor probation periods and proactively advise managers on confirmation, extension, or other appropriate actions.
  • Manage employee exits, including clearance, exit interviews, documentation, and coordination of final payroll requirements.
  • Identify recurring issues across the employee lifecycle and recommend practical improvements to management.

3. Payroll, Attendance & Timekeeping

  • Own the preparation and validation of monthly payroll inputs for approximately 200 employees.
  • Review attendance, leave, overtime, allowances, deductions, salary adjustments, unpaid leave, and other payroll-related changes for accuracy.
  • Identify and resolve payroll discrepancies before payroll submission.
  • Liaise closely with Finance, payroll vendors, and relevant stakeholders to ensure accurate and timely payroll processing.
  • Maintain proper payroll documentation and support payroll-related audits and reconciliations.
  • Handle sensitive payroll matters with a high level of confidentiality and discretion.
  • Investigate recurring payroll or attendance issues and recommend corrective actions to prevent recurrence.

4. Statutory Compliance & HR Risk Management

  • Ensure timely and accurate administration of statutory requirements, including:
  • EPF (KWSP)
  • SOCSO (PERKESO)
  • EIS
  • PCB / Monthly Tax Deduction
  • Maintain up-to-date knowledge of the Employment Act 1955, Industrial Relations Act, and other applicable Malaysian employment legislation and statutory requirements.
  • Monitor HR practices and identify potential compliance gaps, employee relations risks, and operational risks.
  • Provide practical HR guidance to managers on employment-related matters while escalating complex or high-risk cases when appropriate.
  • Maintain documentation required for internal and external HR audits.
  • Support HR compliance reviews and implementation of corrective actions.
  • Ensure employee and payroll information is handled securely and confidentially.

5. Employment Pass & Immigration

  • Manage and coordinate Employment Pass (EP), Professional Visit Pass (PVP), Dependent Pass, and other applicable immigration processes.
  • Coordinate with immigration authorities, appointed agents, and internal stakeholders on applications, renewals, cancellations, and related matters.
  • Proactively monitor visa and work permit expiry dates and ensure timely renewal or cancellation.
  • Review supporting documentation for completeness and accuracy before submission.
  • Resolve application issues and follow up proactively with relevant parties to minimize delays and business disruption.
  • Maintain accurate records of expatriate employment and immigration status.

6. Employee Relations & Complex HR Matters

  • Act as a trusted HR point of contact for employees and managers on HR policies, employment matters, workplace concerns, and employee relations issues.
  • Handle employee concerns with professionalism, objectivity, confidentiality, and sound judgment.
  • Independently assess employee relations matters and determine appropriate next steps based on company policy, facts, business considerations, and applicable employment legislation.
  • Support and, where appropriate, lead investigations into workplace concerns, misconduct, grievances, attendance issues, performance concerns, and disciplinary matters.
  • Provide guidance to managers on appropriate approaches to performance management, disciplinary action, and employee communications.
  • Prepare appropriate documentation for disciplinary and employee relations cases.
  • Identify potential employee relations risks early and escalate material or high-risk matters to management and/or appropriate professional advisers.
  • Balance employee needs, business requirements, fairness, and compliance when making HR recommendations.
  • Promote a professional, respectful, and high-performing workplace culture.

7. HR Advisory & Stakeholder Management

  • Partner closely with managers and department heads to understand workforce needs and provide practical HR solutions.
  • Act as a credible HR advisor rather than purely an administrative support function.
  • Challenge existing practices where appropriate and recommend solutions that balance employee experience, operational requirements, cost, risk, and compliance.
  • Manage multiple stakeholders and competing priorities in a fast-paced environment.
  • Communicate clearly and confidently with employees, managers, senior management, external vendors, and government or statutory agencies.
  • Handle sensitive and confidential matters with maturity, discretion, and professionalism.
  • Make timely decisions within delegated authority and demonstrate sound judgment when dealing with ambiguous or non-routine situations.
