Company Overview

We are Singapore-based shipyard contractors with nearly 20 years of experience in ship construction and repair. We specialize in pipe work, steel work, and outfitting, delivering projects for rigs, FPSO, navy ships, cruises, and LNG vessels with a focus on innovation and quality.

Job Summary

We are looking for a responsible, organised, and detail-oriented Administrative Assistant to support the company's day-to-day administrative and operational activities. The successful candidate will assist with documentation, staff records, office coordination, data entry, correspondence, and general administrative duties. The role requires good organisational skills, attention to detail, and the ability to work effectively in a fast-paced shipyard contracting environment.

Responsibilities

  • Perform administrative and clerical tasks to support daily business operations and maintain efficient workflow
  • Prepare, organise, maintain, and file company documents and records to ensure easy retrieval and compliance
  • Enter data accurately and prepare documents, photocopy, scan, and file materials to support office processes
  • Manage employee records, attendance, leave documentation, and HR-related paperwork to keep personnel files updated
  • Prepare and maintain quotations, invoices, purchase orders, delivery documents, and other administrative records as needed
  • Assist with employment-related documentation including MOM, CPF, insurance, work permits, and Employment Pass applications to ensure regulatory compliance
  • Coordinate correspondence via email, telephone, and other channels to facilitate smooth communication
  • Liaise with employees, suppliers, subcontractors, shipyards, and other business contacts on administrative matters to support operations
  • Assist management and project teams in preparing reports, schedules, and supporting documents to meet project requirements
  • Monitor office supplies inventory and assist with purchasing to maintain adequate stock levels
  • Maintain confidentiality of company, employee, financial, and business information to protect sensitive data
  • Perform other administrative duties assigned by management to support business needs

Preferred competencies and qualifications

  • Minimum 8-10 years of relevant administrative experience preferred
  • Experience in construction, marine, shipyard, engineering, or related industries is advantageous
  • Proficient in Microsoft Office, especially Word and Excel, to produce and manage documents effectively
  • Strong written and verbal communication skills in English to interact clearly with stakeholders, supporting effective collaboration
  • Strong organisational and time-management skills to handle multiple tasks and meet deadlines
  • Meticulous, responsible, and able to work independently with minimal supervision
  • Good interpersonal and coordination skills to collaborate with teams and external contacts
  • Singapore work experience is an advantage
