Project Manager & Administrative Assistant

Gecko Digital, part of Igotopia, is looking for an organised, ambitious and proactive Project Manager & Administrative Assistant to join our growing international team in Kuala Lumpur.

This is an opportunity to work behind the scenes with some of the world's most prestigious luxury hotels and resorts, helping deliver digital experiences that showcase extraordinary properties across the globe.

We're a small, ambitious and fast-growing company, which means this isn't a role where you'll simply be handed a list of tasks and told to get on with them.

You'll have the opportunity to take ownership, work directly with our production and management teams, communicate with luxury hospitality clients, and gain exposure to everything from photography and videography to 360 virtual tours, sales, marketing and cutting-edge hospitality technology.

The Role

We're looking for someone who can help keep our projects, clients and internal operations running smoothly.

You don't need years of project management experience. In fact, we're more interested in your attitude, organisation, communication skills, curiosity and potential.

You'll work closely with our production and management teams to ensure projects move efficiently from completion through post-production and final delivery.

You'll also support client communication, administration, sales research and a variety of operational tasks across the business.

No two days are likely to be exactly the same.

One day you could be coordinating a photography project for a luxury resort in the Maldives. The next, you could be communicating with an editor, updating project schedules, preparing a report, researching a new hotel prospect or helping the management team solve an operational problem.

We're looking for someone who enjoys that kind of variety.

What You'll Be Doing

Project Coordination

• Coordinate multiple content production projects simultaneously
• Track project progress, deadlines and deliverables
• Liaise with photographers, editors and production staff
• Help ensure projects move efficiently from production through post-production and delivery
• Follow up on outstanding tasks and keep projects moving
• Identify potential issues before they become problems
• Keep project information, schedules and documentation organised
• Support the management team with day-to-day project coordination

Client Communication

• Communicate with luxury hotel clients via email and phone
• Schedule meetings and coordinate project timelines
• Provide project updates and follow up on outstanding information
• Handle general client enquiries
• Build positive relationships with clients and production partners
• Help ensure an excellent customer experience throughout every project

You'll have the opportunity to communicate with hospitality professionals around the world and develop valuable experience working with international luxury brands.

Administrative & Operational Support

• Maintain company databases and project records
• Organise project files and documentation
• Prepare reports and spreadsheets
• Assist with internal systems and processes
• Support management with day-to-day operational tasks
• Help improve the way we organise and manage projects
• Carry out general administrative duties where required

Sales & Business Development Support

You'll also gain exposure to the commercial side of the business, including:

• Researching luxury hotels, resorts and tourism businesses
• Identifying potential new clients and sales opportunities
• Generating and qualifying sales leads
• Maintaining CRM records
• Assisting with email and outreach campaigns
• Preparing information for sales meetings
• Supporting the sales team with administrative tasks

Team Support

Experience

The following would be beneficial but is not essential:

• Administrative or office experience
• Project coordination experience
• Customer service or client-facing experience
• Sales administration or lead generation
• Experience with Microsoft Office or Google Workspace
• Experience working with CRM systems
• Experience in hospitality, tourism, travel, media or technology

Full training will be provided.

We're not looking for someone who already knows everything.

We're looking for someone who learns quickly.
