Our Client is a Singapore-incorporated financial services firm specialising in wealth management and insurance advisory. They are seeking a proactive and highly organised
Personal Assistant
to provide administrative and operational support to the Director and his management team.
The role involves managing schedules, coordinating insurance claims and medical appointments, liaising with clients and internal departments, and ensuring smooth day-to-day operations.
The ideal candidate is detail-oriented, professional, and comfortable handling confidential information while communicating effectively with multiple stakeholders.
Key Responsibilities
Executive & Administrative Support
Manage the Director’s calendar, appointments, meetings, and daily schedules.
Prepare reports, emails, correspondence, and other administrative documents.
Organise and maintain accurate records, files, and confidential information.
Assist with event coordination, meeting arrangements, and ad-hoc projects as required.
Client & Claims Coordination
Liaise with clients regarding insurance claims, medical appointments, and outstanding documentation.
Coordinate with claims and medical departments to facilitate timely follow-ups and case updates.
Monitor outstanding matters and provide regular updates to the Director and relevant stakeholders.
Handle client enquiries professionally and ensure timely communication.
Requirements
Minimum 1–2 years of experience in a Personal Assistant, Executive Assistant, or administrative role.
Prior experience in financial services, insurance, or claims administration would be advantageous.
Proficiency in written and spoken English and Mandarin is preferable (to communicate with Mandarin-speaking clients and partners and prepare bilingual correspondence).
Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
Strong organisational, time management, and multitasking abilities.
Meticulous, proactive, and able to work independently with minimal supervision.
Professional and discreet when handling sensitive client and business information.
Strong interpersonal and communication skills, with a service-oriented mindset.
