Location: Petaling Jaya
About the Role
This is an operations role with strong ownership. You will ensure every merchant and partner is onboarded correctly, trained properly, operationally ready to go live, and supported through a consistent and well-documented process. You will work closely with Sales / Business Development, Compliance, Product, Technology and Finance to remove bottlenecks and continuously improve the merchant experience.
Key Responsibilities
1. End-to-End Merchant & Partner Onboarding
- · Own the onboarding journey from handover by Sales / Business Development until operational activation and go-live.
- · Review onboarding information and supporting documents for completeness and accuracy, follow up directly on outstanding items.
- · Track every onboarding case, maintain clear status visibility and proactively drive actions to meet agreed turnaround times.
- · Coordinate internal teams on merchant setup, payment services, settlement details, access and other operational requirements.
- · Perform pre-go-live readiness checks and ensure required operational and compliance steps are completed before activation.
2. Compliance Coordination & Onboarding Governance
- Work closely with Compliance on KYC/KYB, onboarding checks, supporting documentation and merchant review requirements.
- Coordinate responses to Compliance queries and ensure all outstanding matters are followed through to closure.
- Ensure merchants are activated only after required reviews, approvals and internal controls are completed.
- Maintain a complete digital audit trail and escalate documentation inconsistencies or potential compliance concerns.
3. Merchant & Partner Training
- Conduct onboarding, portal and operational training for merchants and partners as part of go-live readiness.
- Guide merchants on relevant workflows including transaction monitoring, payment collection, settlement, reconciliation, reporting and support channels.
- Prepare and maintain user guides, FAQs, training decks, checklists and reference materials; provide refresher training when processes or features change.
- Ensure merchants are confident to operate the platform independently after training.
4. Merchant Operational Monitoring & Support
- Continuously monitor the operational health of onboarded merchants and partners after activation.
- Track operational indicators such as transaction success / failure patterns, integration or configuration issues, settlement or reconciliation issues and support incidents.
- Identify operationally inactive merchants or recurring issues, investigate the cause and coordinate the appropriate team for resolution.
- Act as a key operational point of contact, maintaining ownership of issues through follow-up, escalation and closure.
- Identify recurring issues, support root-cause analysis and recommend preventive improvements; route commercial follow-up to Sales / Business Development where required.
5. Process Improvement & Digital Documentation
- Continuously review onboarding and merchant operations to identify bottlenecks, manual work, duplicated steps and opportunities for simplification or automation.
- Develop and maintain SOPs, workflows, process diagrams, checklists, templates and operational forms.
- Ensure key operational processes are documented digitally and stored in the designated shared repository / shared drive.
- Maintain clear folder structures, naming standards, document ownership, version control and change history so the latest approved process is easy to access.
- Update documentation whenever a process, product, control or requirement changes and support improvements that make onboarding faster, more consistent and scalable.
What we are looking for
- Diploma or Bachelor’s Degree in Business Administration, Finance, Banking, Operations, IT or a related field.
- Preferably 1–3 years of experience in merchant operations, payments, fintech, banking, merchant acquiring, payment gateway operations or customer onboarding.
- Fresh graduates with strong organisational, communication and ownership skills may also be considered.
- Experience with merchant onboarding, KYC/KYB, compliance or financial services is an advantage.
- Comfortable using spreadsheets, shared drives, digital documentation tools and operational trackers.
- Able to manage multiple cases, stakeholders and deadlines concurrently.

Pay: RM3,000.00 - RM5,000.00 per month
