Job Description

Responsibilities

Role Purpose

The Business Transformation Analyst evaluates how the company operates, identifies process and control gaps, and helps design scalable, technology-enabled ways of working. Working closely with the CIO/CTO, business leaders, and operational teams, the role translates transformation priorities into documented processes, practical improvement initiatives, measurable outcomes, and well-governed project delivery.

Key Responsibilities

Process Discovery and Documentation

  • Document current operations: Map and maintain accurate as-is workflows, standard operating procedures, business rules, roles, systems, handoffs, dependencies, controls, and operational measures.
  • Conduct discovery: Plan and facilitate stakeholder interviews, workshops, process walkthroughs, and job-shadowing sessions to understand how work is performed in practice.
  • Maintain the process repository: Keep approved process maps, SOPs, supporting evidence, decision records, version history, and ownership information organized and current.

Gap Analysis and Process Transformation

  • Assess process performance: Identify bottlenecks, duplicate effort, manual workarounds, unclear ownership, control weaknesses, data-quality issues, and compliance risks.
  • Perform structured analysis: Use root-cause analysis and gap analysis to compare current capabilities with target outcomes and determine the underlying causes of operational problems.
  • Design future-state processes: Develop practical to-be workflows that simplify work, strengthen controls, improve data flow, and make appropriate use of automation and digital tools.
  • Define measurements: Establish baseline measures, benefits, key performance indicators, acceptance criteria, and post-implementation review methods for transformation initiatives.
  • Support solution selection: Translate business needs into clear requirements and assist with evaluating enterprise applications, workflow tools, automation options, and vendor proposals.

Transformation Governance and Executive Support

  • Prepare decision materials: Support the CIO/CTO with executive presentations, business cases, recommendations, roadmaps, briefing papers, and transformation status reports.
  • Coordinate stakeholders: Build cross-departmental alignment on scope, ownership, priorities, dependencies, controls, and implementation responsibilities.
  • Track delivery: Maintain project plans, milestones, actions, decisions, risks, issues, dependencies, and benefits realization records, and escalate exceptions promptly.
  • Support change adoption: Assist with implementation planning, communications, user readiness, training materials, SOP updates, and transition to operational ownership.

Qualifications and Experience

  • Education: Bachelor's degree in Business, Information Systems, Operations Management, Industrial Engineering, or a related discipline. Equivalent relevant experience may be considered.
  • Experience: Two to five years of experience in business analysis, process improvement, operations management, management consulting, enterprise systems, or IT-enabled transformation.
  • Stakeholder exposure: Demonstrated experience working across functions and communicating with both operational teams and senior management.

Technical and Professional Skills

  • Process analysis: Strong practical ability in process discovery, workflow mapping, requirements analysis, root-cause analysis, gap analysis, and future-state design.
  • Modeling standards: Hands-on proficiency with Microsoft Visio or comparable process-modeling tools and familiarity with BPMN or other recognized workflow notations.
  • Data analysis: Ability to combine quantitative and qualitative evidence, identify patterns, test assumptions, and convert findings into actionable recommendations.
  • Business communication: Excellent written, verbal, facilitation, and presentation skills, including the ability to explain process and technology concepts to non-technical audiences.
  • Productivity tools: Advanced proficiency in Microsoft Excel and PowerPoint, with effective use of Microsoft 365 and approved AI tools to improve analysis and documentation productivity.
  • Project discipline: Ability to manage actions, risks, issues, dependencies, timelines, and documentation across multiple concurrent initiatives.

Preferred Qualifications

  • Professional certification: CBAP, CCBA, Lean Six Sigma Yellow or Green Belt, Agile, Scrum, or an equivalent relevant credential.
  • Enterprise systems: Experience supporting the implementation or improvement of ERP, CRM, HRMS, workflow automation, analytics, or other enterprise platforms.
  • Change management: Exposure to organizational change, user adoption, training, benefits realization, or post-implementation review activities.

Working Arrangements

  • The role is primarily office-based and requires regular collaboration with business functions, technology teams, vendors, and executive stakeholders.
  • Process discovery may require observation of work at retail, warehouse, or other operational sites.
  • The role may manage several transformation initiatives at different stages and must balance analytical depth with delivery deadlines.

Pay: RM5,500.00 - RM6,500.00 per month

Education:

  • Bachelor's (Preferred)

Experience:

  • Business analysis: 2 years (Preferred)
