Job Summary:
The Document Controller is responsible for managing and maintaining all project documentation, including technical drawings, reports, and records, ensuring accuracy, proper version control, and compliance with company standards and regulatory requirements. The role supports project teams by ensuring efficient document flow, secure storage, and timely retrieval of information throughout the project lifecycle.
Responsibilities & Authorities:
1. Project Drafting & Technical Documentation
- Develop Technical Drawings: Prepare detailed electrical drawings, schematics, wiring diagrams, and layouts based on project requirements and engineers' specifications.
- Utilize CAD Software: Use AutoCAD, Revit, or similar tools to create and revise 2D/3D drawings.
- Ensure Compliance: Verify that all drawings comply with industry standards, electrical codes, and client specifications.
- Revise and Update Drawings: Incorporate mark-ups, revisions, and changes while maintaining proper version control.
- Prepare As-Built Drawings: Produce final drawings reflecting actual site installation based on sketches and site inputs.
- Collaborate with Engineers: Work closely with E&I engineers and project teams to interpret requirements and resolve design issues.
- Prepare Technical Reports: Assist in preparing reports, manuals, and cost-related documentation by extracting data from drawings.
2. Document Control Management
- Implement Document Control System: Establish and maintain document management systems (electronic and hardcopy) for efficient filing and retrieval.
- Manage Documentation Lifecycle: Control document flow from creation, review, approval, distribution, to archiving and disposal.
- Perform Quality Checks: Ensure all documents are accurate, complete, and comply with company standards and formats.
- Maintain Version Control: Monitor revisions and maintain master document registers to ensure only latest versions are used.
- Coordinate Document Exchange: Liaise with internal teams, clients, consultants, and subcontractors for document submissions and approvals.
- Ensure Confidentiality: Control access to sensitive documents and ensure compliance with data protection requirements.
- Conduct Audits & Reporting: Perform regular document audits and prepare status reports for management review standards.
3. Coordination & Support
- Support project teams with document submission, tracking, and follow-ups.
- Assist in preparation of project documentation for handover and close-out.
- Ensure timely submission of drawings, reports, and records as per project schedule.
- Maintain proper filing structure in company shared drive and physical records
Minimum Qualification:
- Diploma/Degree in Engineering, Construction Management, or related field.
- Minimum 2–5 years of experience in document control or drafting (M&E / construction projects preferred).
Skills:
- Proficient in AutoCAD, Revit, and MS Office applications.
- Strong knowledge of document control processes and ISO standards.
- Good understanding of technical drawings and construction documentation.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Good communication and coordination skills.
- Candidate with Electrical background is an added advantage.
