Role Overview
This is the HR, Administrative, and Corporate Secretarial coordination role in our Hong Kong office. You will independently own the end-to-end execution of payroll processing, mandatory tax/statutory reporting, MPF administration, basic bookkeeping, onboarding/offboarding, visa coordination, office operations, and day-to-day company secretarial liaison, reporting directly to Senior Management.
This role requires a young, passionate, and energetic professional who thrives under high pressure in an agile, entrepreneurial environment and the platform to streamline processes using AI and modern workflow tools.
Key Responsibilities
1. Payroll, MPF & Statutory Compliance
- End-to-End Payroll: Calculate and execute monthly payroll independently; handle final payment settlements for leavers.
- MPF Administration: Oversee enrollment, monthly contributions, and filings in full compliance with the MPF Ordinance.
- Taxation & Statutory Reporting: Prepare and submit annual employer tax returns (IR56B, IR56E, IR56F, IR56G) and calculate leave entitlements, sickness allowance, and severance/long-service payments according to the HK Employment Ordinance.
2. Corporate Secretarial & Regulatory Support
- CoSec Liaison: Act as the primary contact with external Corporate Secretarial providers / legal counsel to ensure timely statutory filings.
- Statutory Records & Filings: Assist in coordinating Annual Returns (NAR1), Business Registration Certificate (BRC) renewals, changes of directors/secretaries, and maintaining updated statutory.
- Board & Corporate Governance Support: Assist with board meeting logistics, drafting basic board resolutions, keeping meeting minutes, and maintaining proper corporate filing records.
3. Basic Bookkeeping & Financial Support
- Expense Claims & Reconciliation: Process and reconcile monthly staff expense reimbursements; track office petty cash and vendor payables.
- Financial Filing: Systematically archive receipts, invoices, and vouchers in accordance with statutory retention requirements.
- Audit Support: Organize supporting financial documents and liaise with external accountants/auditors for annual audits.
4. Talent Onboarding, Offboarding & Visa Coordination
- Onboarding & Offboarding: Draft employment contracts and offer letters, coordinate IT setup/seating, set up personnel records, manage exit handovers, and record exit interviews.
- Visa Coordination: Prepare application/renewal materials for non-local staff (employment and dependent visas) and liaise with external immigration consultants.
- Recruitment Logistics: Coordinate interview schedules, liaise with candidates, and perform reference/background checks (candidate sourcing is driven by Hiring Managers).
5. Office Operations & Facilities
- Vendor & Lease Management: Serve as the primary contact for landlord/building management; handle leases, office insurance, repairs, IT inventory, and office supplies procurement.
- Cross-border & Executive Support: Provide travel bookings and logistics support for management; coordinate administrative matters between Hong Kong and other offices.
Requirements & Qualifications
Must-Haves (Essential)
- Experience: Minimum 2–5 years of hands-on experience in HK HR administration, payroll processing, office management, and basic corporate secretarial coordination. Prior sole-charge or small-team experience is highly preferred.
- Technical HR, Accounting & Legal Knowledge:
- Proven track record of independently executing full payroll cycles and filing annual IR56B returns.
- Deep familiarity with the Employment Ordinance, MPF Schemes Ordinance, and Personal Data (Privacy) Ordinance.
- Practical knowledge of basic bookkeeping, expense claim processing, and receipt reconciliation.

Nice-to-Haves
- Education: Bachelor’s degree in Business Administration, Finance, Human Resources, Accounting, Corporate Governance, or a related discipline.
- CoSec Knowledge: Working knowledge of the Hong Kong Companies Ordinance (Cap. 622) and experience handling routine corporate filings.
- MPF Expertise: In-depth experience handling complex MPF schemes and compliance nuances.
- Industry Background: Previous experience in licensed financial institutions, quantitative trading, asset management, or securities firms.
- Cross-Border Experience: Experience supporting cross-border teams (HK & Mainland China).
