Job Description

Responsibilities

Role Summary / PurposeProvide comprehensive HR support across the employee lifecycle, including recruitment, onboarding, employee relations, HR administration, immigration, payroll coordination, compliance, and staff support. Ensure effective and timely delivery of HR services in line with organisational policies, employment legislation, and school requirements. The role supports the school’s operational effectiveness by maintaining accurate HR processes, strengthening employee experience, and ensuring compliance with relevant regulatory and safeguarding requirements.
Responsibilities
  • Manage end-to-end recruitment and onboarding processes, including job requisitions, candidate coordination, offer documentation, reference checks, background screening, and Workday onboarding.
  • Provide day-to-day HR support to academic and non-academic employees throughout the employee lifecycle.
  • Coordinate employment pass, dependent pass, special pass, visa, work permit, and other immigration-related processes for international employees.
  • Maintain accurate employee records and HR information in Workday and other HR systems, ensuring information is complete and up to date.
  • Coordinate payroll-related HR processes, including attendance verification, salary-related documentation, deductions, tax matters, and employee queries.
  • Administer employee benefits and medical claims, including reviewing documentation, maintaining tracking records, obtaining required approvals, and coordinating with Finance.
  • Support employee relations matters by providing guidance on HR policies, procedures, attendance, leave, documentation, and other employment-related matters.
  • Coordinate statutory and regulatory requirements with relevant government authorities, including LHDN, Immigration, MOE/JPN, SSM, and other relevant agencies.
  • Support staff compliance with safeguarding, mandatory training, and other organisational requirements.
  • Prepare HR letters, employment documentation, confirmations, amendments, and other employee-related correspondence.
  • Maintain HR trackers, reports, and documentation to support effective HR monitoring, reporting, and audit requirements.
  • Liaise with school leadership, regional HR, Finance, IT, and other departments to ensure timely resolution of HR and employee-related matters.
  • Identify opportunities to improve HR processes and implement practical solutions to improve efficiency, accuracy, and employee experience.
  • Ensure HR practices are consistently applied in accordance with organisational policies, procedures, and applicable employment legislation.


Qualifications

Education

  • Bachelor’s Degree in Human Resource Management, Business Administration, or a related discipline.
  • Professional qualifications or certifications in Human Resources are an advantage.

Experience

  • Significant experience in HR administration and generalist HR operations, preferably within an education, international school, or multinational organisation.
  • Experience managing the full employee lifecycle, including recruitment, onboarding, employee records, payroll coordination, employee relations, and offboarding.
  • Experience handling immigration and employment pass processes for international employees.
  • Experience working with HRIS platforms such as Workday or similar systems.
  • Experience coordinating with internal stakeholders and government authorities on HR and employment matters.

Skills

  • Strong knowledge of HR processes, employment practices, and HR administration.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Good written and verbal communication skills.
  • Strong attention to detail and accuracy when handling confidential employee information.
  • Ability to work independently and collaborate effectively with different departments and stakeholders.
  • Strong problem-solving and follow-up skills.
  • Proficiency in Microsoft Office and HR information systems.
  • Ability to maintain confidentiality and handle sensitive employee matters professionally.
