Role Overview

The role supports the effective delivery of employee engagement and workplace experience initiatives, HR operations, and business projects across the organisation. Working closely with employees, managers, internal stakeholders, and external vendors, the incumbent ensures smooth HR and workplace operations while contributing to key organisational initiatives. The role is hands-on, collaborative, and service-oriented, with a focus on delivering a positive employee experience and operational excellence.

Key Responsibilities

Employee Engagement & Workplace Experience

• Ownership and coordination of the Employee Engagement Survey
• Plan and coordinate employee engagement and workplace initiatives that enhance the overall employee experience, including company events, team-building activities, and other employee activities.
• Coordinate event logistics, vendors, communications, and administrative arrangements to ensure smooth execution of employee initiatives.
• Partner with BW Group Facilities and external vendors on office maintenance, workplace services, office improvements, and facilities-related matters.
• Oversee office supplies and workplace services, including pantry, stationery, printing facilities, travel arrangements, and other administrative requirements.
• Act as the Office Crisis Management Lead and emergency preparedness initiatives.

HR Operations & Employee Support

• Manage day-to-day HR operations and employee administration, including onboarding, offboarding, employee movements, HR documentation, records, and HR-related queries.
• Coordinate HR vendor services and contracts, ensuring timely renewal, service delivery, and payment.
• Support HR systems and process improvements, including migration to new HRIS and other HR operational initiatives.

Projects & Business Support

• Support cross-functional HR, workplace, and business initiatives, working closely with internal stakeholders and external partners to deliver projects effectively.
• Identify opportunities to improve HR and workplace processes, service delivery, and employee experience.
• Provide operational and ad hoc support to the HR team and undertake other responsibilities as assigned by the reporting manager.

• Diploma or degree in HR, Business Administration or related field
• 3-6 years of relevant experience in HR, employee engagement, workplace/office administration
• Entry-level candidates with strong potential and a keen interest in HR and workplace experience are welcome to apply.
• Strong organizational and coordination skills with attention to detail
• Ability to manage multiple stakeholders and priorities effectively
• Good written and verbal communication skills
• Proactive, resourceful, and able to work independently when required
• Proficient in Microsoft Office (PowerPoint, Excel, Word)
