Job Description

Responsibilities

Here at UMR Strategic, we are looking for a dedicated and experienced Admin Manager to play a key role in managing our foreign worker operations, coordinating with government authorities and clients, and leading our administrative team.

Key Responsibilities

1. Quota & Compliance

  • Prepare and submit quota applications and supporting documents to JTK, KDN, and other relevant authorities.

  • Monitor application progress and ensure compliance with government and immigration requirements.

  • Liaise with relevant authorities to follow up on applications and resolve issues.

2. Document Attestation

  • Coordinate document attestation, legalization, and authentication with Embassies and High Commissions.

  • Ensure all documents meet the required standards and are properly maintained.

3. Overseas Recruitment Coordination

  • Coordinate worker interviews with overseas recruitment partners.

  • Follow up on medical examinations, candidate selection, and recruitment progress.

  • Coordinate worker arrival schedules and resolve recruitment-related issues with overseas partners.

4. Internal Coordination

  • Work closely with Marketing, Operations, and Accounts teams on recruitment and worker deployment planning.

  • Provide timely updates on applications, worker arrivals, and pending matters.

5. Administration & Compliance

  • Maintain accurate worker records, visa approvals, arrival schedules, and related documentation.

  • Ensure compliance with government policies, immigration procedures, and Act 446.

  • Ensure administrative processes are accurate, organized, and completed on time.

6. Team Management & Reporting

  • Supervise and guide the administration team to ensure smooth daily operations.

  • Provide training and support to team members.

  • Prepare regular reports on applications, worker arrivals, and pending cases for management review.

Job Requirements

  • Diploma or Degree in Business Administration, Human Resources, or a related field.

  • Minimum 5 years of relevant administration/operations experience, preferably in foreign worker management.

  • Strong knowledge of JTK, KDN, and Immigration procedures.

  • HR payroll experience and relevant qualifications are required.

  • Proven leadership and team management experience.

  • Strong organizational, planning, and multitasking skills.

  • Good communication and problem-solving skills.

  • Mandarin proficiency is highly preferred for effective communication with Mandarin-speaking clients and business partners.
