Role Description

This is a full-time on-site role for an Administrative Assistant, located in Singapore. The Administrative Assistant will manage daily administrative tasks, including schedule coordination, handling correspondence, and maintaining organized records. Responsibilities will also extend to providing executive support, managing phone calls professionally, and performing clerical tasks to ensure efficient office operations. The role requires excellent organizational skills and attention to detail to support the team effectively.


WHAT WILL YOU WORK ON?


You will be part of a fast pace dynamic team, working on daily operational matters or ad-hoc projects.


On any given day, you will manage administrative and operational matters such as the onboarding process for new hires, management/team meeting presentations, maintaining office and pantry supplies inventory, minutes, and any other business support matters. You will support leadership team in budget tracking and reports, invoicing, bills and expense claims, leave applications and ad-hoc project management.


Periodically, you will also be involved in executing end-to-end event management for the leadership team, including planning, liaising with vendors, invites, set-up, actual day live support, payment-related matters, and post-action review.


Qualifications

  • At least 3 - 5 years of relevant experience in an agency or events management company
  • Minimally Diploma in related fields
  • Proficiency in Administrative Assistance, including organizing schedules and maintaining records
  • Strong skills in Phone Etiquette and effective Communication, ensuring professionalism in interactions
  • Experience in Executive Administrative Assistance, including direct support for leadership
  • Expertise in Clerical Skills, such as data entry, document management, and filing
  • Ability to multitask, prioritize workload, and adapt to fast-paced environments
  • Proficiency with office software and tools such as Google Suites and Microsoft Office
  • Previous experience in a similar role and familiarity with the events or marketing field is a plus
