About the Role

They are looking for a proactive and detail-oriented Facilities & Administration Executive to join their team. In this role, you will play a vital part in ensuring the smooth day-to-day operations of our building and facilities, managing vendor relations, overseeing procurement, and administering safety equipment and regulatory compliance documentation.


Key Responsibilities

  • Facilities & Building Operations: Conduct regular workplace inspections, maintain preventive maintenance calendars, manage helpdesk cases, and coordinate repairs, contractors, and minor improvement projects.
  • Vendor & Purchase Management: Source quotations, prepare purchase requisitions/orders, verify invoices against delivery reports, and monitor facilities expenditures against approved budgets.
  • Safety & PPE Administration: Manage the inventory, issuance, and tracking of Personal Protective Equipment (PPE), uniforms, safety shoes, and life-vest serial registers (including scheduling required servicing).
  • WSH & ISO Support: Coordinate WSH Committee meetings, maintain audit trails, file controlled documents, and assist with ISO 9001, ISO 45001, and regulatory compliance administration.
  • General Administration & Reporting: Handle office/pantry supplies, maintain shared folders and vendor registers, and compile comprehensive monthly reports covering facility cases, contract expiries, and budget updates.


Requirements & Qualifications

  • Education: Minimum GCE O-Level with relevant experience, or a NITEC / Higher NITEC / Diploma in Facilities Management, Business Administration, Building Services or a related discipline.
  • Experience: At least 3 years of relevant hands-on experience in facilities or operational administration, vendor management, purchasing, and inventory control. Experience in an engineering, marine, industrial, or technical-service environment is a strong plus.
  • Technical Skills: Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Soft Skills: Strong organizational, follow-up, and problem-solving skills with clear communication abilities. Able to manage recurring deadlines and conduct routine building walkabouts.
