About New Life Stories
New Life Stories is a registered IPC non-profit organization dedicated to empowering children of incarcerated parents and vulnerable families. Through early education, family strengthening, and therapeutic support, we build resilient family units and break intergenerational cycles of incarceration.
Role Purpose
We are seeking a meticulous and hands-on Finance & HR Manager to oversee our daily financial operations, non-profit grant accounting, regulatory compliance, and core human resource functions. You will play a pivotal role in maintaining institutional integrity by managing restricted grant reporting, driving annual audits, and leveraging cloud platforms (Xero) and HR management systems (JustLogin) to maintain operational excellence across our programs.
Key Responsibilities
1. Grant Financial Management & Restricted Fund Reporting
Manage, track, and reconcile unrestricted and restricted project reserves and grants (e.g., NCSS, TBSSF, Tote Board, Community Chest, and private foundations).
Prepare detailed, itemized income and expenditure statements, fund movement schedules, and grant expenditure reports for funders.
Ensure strict compliance with grant terms, fund trackings and proper allocation of corporate overheads.
Drive improvements in business processes and internal controls to enhance the organisation’s process efficiencies and controls effectiveness, and ensure compliance with corporate policies and procedures.
Proactively identify and mitigate operational and financial risks.
Fulfill external and internal audit requirements and determine proper remediating actions in response to audit findings and recommendations.
2. Audit & Regulatory Compliance
Lead the end-to-end annual financial audit process, preparing audit schedules, draft financial statements, and notes to accounts.
Ensure full compliance with the Code of Governance for Charities and IPCs, applicable accounting standards (including CAS, where applicable), and relevant statutory and regulatory requirements.
Serve as the primary liaison with external auditors, tax agents, and funding body officers.
3. Financial Operations & Systems Administration
Oversee day-to-day accounting functions (AP, AR, General Ledger, bank reconciliations) using Xero Accounting System.
Prepare timely monthly management accounts, variance analysis reports, and cash flow projections for the Board and Finance Committee.
Establish, review, and enhance robust internal financial controls, SOPs, and policies.
4. HR Functions & Payroll Administration (Sub-Role)
Payroll & Statutory Submissions: Process monthly payroll, staff reimbursements, CPF contributions, and year-end IR8A tax filings via JustLogin.
HR System Administration: Maintain staff records and claim approvals within JustLogin.
Government Claims: Submit relevant government claims (e.g., NS makeup pay, maternity/paternity leave, child care leave claims).
Requirements & Qualifications
Education: Degree in Accountancy, Finance, Human Resources, or equivalent professional qualification (CA / CPA / ACCA).
Experience: Minimum 4–6 years of relevant experience handling finance, accounting, and basic HR/payroll operations—preferably within a non-profit or charity setting.
Systems Proficiency: Direct hands-on expertise in Xero and JustLogin (Payroll, Leave, and Claims modules).
Attributes: High integrity, strong organizational skills, discreet handling of confidential data, and a passion for social causes.
New Life Stories was established in 2014 to prevent intergenerational incarceration. New Life Stories is an IPC (Institution of Public Character) non-profit organisation that aims to provide children of incarcerated parents with essential reading and pro-social skills to ensure that they are not left behind in their crucial early years of development.
New Life Stories has put in place a holistic strategy targeted at providing support to children of the incarcerated and their families. The programmes aim to provide these children with educational and emotional stability so that they can have a fairer start in school. Their parents are also supported by our customised in-prison programmes to prepare them for their release and to give them the reassurance to successfully reintegrate back into society. New Life Stories also educates and guides the families by providing them with essential tools to be self-sufficient.
Befriending
The programme was put in place to provide reading and learning opportunities to children of incarcerated parents so that they can have a fairer start in life. Learning Friends visit the children at their homes weekly to conduct pro-social and reading sessions through storytelling and befriending. Our Learning Friends are a team of trained volunteers, carefully screened for their empathy and mentorship ability to guide the children during their formative years.
In-care
Trained counsellors visit Changi Prison every week to conduct the In-Care programme where they provide customised self-awareness and resilient building in-prison workshops for the parents. The programmes are designed to restore and strengthen the relationship between parent and child as well as to provide internal and external support to prepare them for times of crisis.
Family Care
New Life Stories will intervene where necessary to provide tailored individual counselling and/or family therapy to help build connectedness within the family. Through activities and games, the sessions help facilitate family strengthening and allows the counsellors to observe behaviours, identify and affirm strengths, model, and encourage new ways of communication within the family. Our case management team aims to strengthen the families own capacities to deal with problems and to cope more effectively in their environment, through a client-centric, goal-oriented, problem-solving approach. Our case workers work towards engaging and assessing the needs of the families and aim to increase their resiliency and improve their quality of life in the long run.
