Personal Assistant – Client Servicing & Business Operations

Role: Personal Assistant – Client Servicing & Business Operations
Employment Type: Full-Time
Location: Singapore

We are looking for a highly organised, meticulous, proactive and dependable Personal Assistant to support a financial advisory practice in both client servicing and day-to-day business operations.

This role is ideal for someone who enjoys bringing structure to a busy environment, following through on details, coordinating multiple priorities and ensuring that both clients and the team receive timely and professional support.

You will work closely with the adviser and become an important part of keeping the business organised and running smoothly.

Key Responsibilities

Client Servicing & Follow-Up

  • Maintain accurate client records and follow-up lists
  • Track outstanding client requests, documents and action items
  • Follow up with clients on administrative matters
  • Coordinate submissions and servicing requests with relevant internal teams and financial institutions
  • Ensure client enquiries and requests are followed through promptly
  • Help maintain a consistent and professional client experience

Business Operations

  • Maintain task lists, deadlines and business follow-ups
  • Organise digital files, documents and client information
  • Assist with preparation of reports, presentations and business materials
  • Support seminars, client events, talks and other business activities
  • Maintain simple trackers and operational systems to ensure tasks are completed on time
  • Identify opportunities to improve and streamline administrative processes

Personal Assistant Support

  • Help prioritise appointments, deadlines and important follow-ups
  • Provide reminders and ensure agreed actions are completed
  • Assist with ad-hoc administrative and coordination matters
  • Anticipate upcoming requirements rather than waiting to be instructed
  • Act as an organised second pair of hands so the adviser can focus more time on clients, advisory work and business development

  • Calm and adaptable in a fast-moving environment

Experience in financial services, insurance, banking, wealth management or client servicing would be an advantage, but attitude, organisation and willingness to learn are equally important.

Pay: $2,000.00 - $3,500.00 per month

Work Location: In person
