Responsibilities

Customer Interactions 

• Answer customer enquiries by phone, email, chat, and in person with clear, polite information about products and orders. 
• Process returns, exchanges, and refunds following company policy and record outcomes in our systems. 
• Capture customer feedback and common issues so the team can improve product displays and messaging. 
• Escalate complex complaints to supervisors and follow up until the customer is satisfied.

Operations & Admin 

• Maintain accurate customer records in the CRM and update order statuses on the retail platform. 
• Support simple stock checks and coordinate with the store team to confirm product availability. 
• Prepare daily logs and short reports on call volumes, common queries, and pending follow ups. 
• Help with point of sale tasks during busy periods, including packing and basic checkout support.

Team Support & Improvement 

• Work closely with sales and inventory teams to reduce repeat enquiries and close open tickets faster. 
• Share recurring customer issues and suggest small process tweaks to improve response times. 
• Participate in short training sessions and role plays to keep product knowledge current. 
• Cover shift duties reliably and hand over clear notes to the next teammate.

Requirements

Qualifications & Experience 

• Minimum of 2 years of customer service experience, ideally in front-facing roles. 
• Secondary education completed, diploma or equivalent is a plus but not required. 
• Comfortable working in a small team with rotating shifts and occasional weekend duties.

Hard Skills & Knowledge 

• Practical use of CRM or ticketing tools to log customer interactions and update case status. 
• Proficient in MS Office basics, especially Excel for simple reporting and tracking. 
• Basic numeracy to handle refunds, discounts, and simple till reconciliation. 
• Familiarity with online order workflows and common retail point of sale systems is helpful.

Soft Skills & Qualities 

• Strong verbal and written communication in English, with clear pronunciation and friendly tone. 
• Good social skills and patience when dealing with varied customer temperaments. 
• Reliable, detail oriented, and able to follow processes while suggesting small improvements. 
• Willingness to learn, take feedback, and support teammates during peak periods.
