Responsibilities
Key Responsibilities
1. Human Resources Administration
* Maintain and update employee and security guard personal files.
* Prepare employment letters, contracts, confirmation letters, warning letters, show-cause letters, termination letters and other HR correspondence.
* Monitor probation, contract expiry, confirmation and renewal dates.
* Maintain updated employee and guard master lists.
* Ensure employee documents are properly filed and kept confidential.
* Assist management with disciplinary documentation and employee records.
2. Recruitment & Manpower
* Assist with recruitment of security guards and office/operations staff.
* Arrange interviews and collect required documents from candidates.
* Coordinate new employee registration, onboarding and orientation.
* Maintain records of vacancies, new joiners, resignations and terminated employees.
* Assist Operations in monitoring manpower requirements for each security project/site.
3. Attendance & Payroll Support
* Collect and check attendance, timesheets and duty records submitted by Operations.
* Verify working days, working hours, overtime, rest days, public holidays, absenteeism and unpaid leave before payroll processing.
* Prepare attendance and payroll supporting documents for Finance/Payroll.
* Maintain records of salary advances, deductions and other authorised payroll adjustments where applicable.
* Follow up with Operations on incomplete or incorrect attendance records.
4. Security Guard Administration
* Maintain updated records of guards according to project/site.
* Monitor guard deployment, transfer, resignation and replacement records.
* Maintain copies of IC/passport, work permit and other required employment documents.
* Coordinate with Operations regarding guard documentation and administrative requirements.
* Assist in maintaining uniform, company property and equipment issuance/return records.
5. Statutory & HR Documentation
* Assist in preparing and maintaining documents relating to EPF, SOCSO, EIS and other applicable statutory requirements.
* Ensure employee information is updated accurately for HR and statutory purposes.
* Assist with preparation of documents requested during audits or inspections.
* Maintain proper HR records in accordance with company procedures and applicable requirements.
6. General Administration
* Handle daily office administration, filing, scanning, photocopying and document control.
* Prepare letters, memos, reports and other administrative documents.
* Maintain proper physical and electronic filing systems.
* Handle incoming calls, emails and general correspondence when required.
* Coordinate office supplies, stationery and other administrative requirements.
* Assist Management, HR and Operations with administrative matters as required.
Job Type: Full-time
Pay: RM2,300.00 - RM2,500.00 per month
