Responsibilities

Job Summary We are seeking a highly systematic, detail-oriented, and proactive Service Administrator to join our media operations and client services team. In this critical role, you will serve as the administrative and operational backbone for our editorial production desks, luxury campaign managers, and advertising service teams. Operating from our Changi South facility, you will be responsible for tracking advertising campaigns, managing client onboarding documentation, processing content delivery schedules, and auditing commercial project records. The ideal candidate will combine strong record-keeping precision with excellent professional communication skills to maximize project efficiency and ensure an outstanding service journey for our luxury brand partners.

Key Responsibilities

  • Service & Campaign Coordination: Manage the end-to-end administrative lifecycle of luxury media campaigns and advertising agreements, tracking content delivery deadlines and ensuring campaign performance metrics (KPIs) are reached.
  • Documentation & Asset Management: Review, organize, and archive high-volume client brand assets, campaign contracts, influencer agreements, and post-campaign analytical reviews with absolute data integrity.
  • Database & Pipeline Auditing: Monitor and verify daily content management systems (CMS), digital asset allocations, and client transaction folders to eliminate data errors or scheduling conflicts.
  • Luxury Brand & Partner Liaison: Act as a reliable and professional administrative point of contact for luxury brand corporate representatives and media agencies regarding campaign timelines, processing updates, and material requirements.
  • Procurement & Vendor Logistics: Support the creative team by processing vendor purchase requisitions, coordinating logistics for media events or photoshoots, and matching partner invoices against delivery orders (DOs).
  • Performance Reporting: Track, extract, and compile operational performance logs and service execution metrics to prepare scannable dashboards and updates for senior management.
  • Data Governance Compliance: Enforce strict media data security standards across all physical and digital records management, ensuring complete alignment with corporate guidelines and the Personal Data Protection Act (PDPA).

Requirements

  • Education: Minimum Diploma or Bachelor's Degree in Business Administration, Communications, Media Management, Marketing, or a related professional discipline.
  • Technical Proficiency: High competency in advanced Microsoft Office Suite applications (specifically Excel for data tracking sheets and templates). Experience navigating content directories, CRM tools, or publishing databases is a strong asset.
  • Experience: Prior experience (2–5 years) in a service administration, media coordination, customer support, or commercial operations support role—preferably within a digital media company, advertising agency, lifestyle brand, or premium hospitality sector—is required.
  • Communication: Exceptional verbal and written English communication skills; professional telephone etiquette and an approachable, service-oriented demeanor.
  • Core Competencies: Outstanding structural logic, sharp emotional intelligence, intense attention to detail under tight media release deadlines, and a resilient team-player mindset.

Pay: $4,800.00 - $6,800.00 per month
