Job Summary
Administrative Executive / Office Administrator
The Admin Executive is responsible for managing the company’s daily administrative activities, documentation, and operational support. The role ensures that office administration, paperwork, records, and coordination between departments are handled efficiently and accurately.
Key Responsibilities :
Project & Document Administration
- Possess knowledge of Architectural office administrative works
- Maintain comprehensive document control and filing systems (physical and digital) for architectural drawings, tender documents, and contracts.
- Prepare Certificate of payment, interim of certificates etc
- Prepare Stage-billing certificates
- Prepare minutes of meeting, letters, memo etc
- Understanding of Local Authorities submission requirements, procedures, compilation of documentation for online and paper submission.
- Coordinate submission schedules and follow up on administrative paperwork with external consultants, contractors, and local authorities (e.g., DBKL)
- Follow-up with Local Authorities for project's approval status.
- Maintain good documents control and files management system for every project.
- Undertake any ad-hoc assignment and related duties as and when required by superior with positive minset and attitude.
- Perform any other duties that may be assigned from time to time based on business requirements.
General Office Administration & Operation support
- Manage day-to-day office logistics, stationery supplies, equipment maintenance, and meeting coordination.
- Handle incoming calls, greet clients, and manage correspondence for the architects.
- Monitor office supplies, stationery, and general administrative requirements.
- Assist with company facilities, equipment, and general office matters.
- Maintain proper records of company assets and administrative documents.
- Assist the Project, Accounts, HR, and Operations teams with administrative matters.
- Assist with basic HR and finance admin, such as assiting in processing staff expense claims, tracking staff attendance, and handling AR/AP data *************
- Perform other administrative and ad-hoc duties assigned by superior / management.
Qualifications
- Minimum Diploma holder : Diploma or Degree in Business Administration, Office Management, or a related field.
Experience
- 1 to 3 years of working experience in an administrative role; experience in an architectural, engineering, or developer / construction firm is a strong advantage.
Skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Good organizational, multi-tasking, and time-management skills, independent and resourceful.
- Professional proficiency in English and Bahasa Malaysia

Pay: RM1,800.00 - RM3,300.00 per month
