Job Summary

We are seeking an organised and proactive individual to manage maintenance contract administration and support office operations, collaborating with Town Council officers, supervisors, maintenance teams, and the Administration department.

Responsibilities

• Liaise with clients to resolve servicing and repair issues, ensuring timely communication and customer satisfaction
• Coordinate maintenance and repair activities with site teams to ensure efficient and safe completion of works
• Prepare accurate quotations, detailed reports, and contract documents to support project and maintenance operations
• Track work orders, approvals, and outstanding jobs to maintain up-to-date project status and facilitate workflow
• Maintain comprehensive records and update Excel trackers to ensure data accuracy and accessibility
• Assist with invoicing processes and perform general administrative duties to support financial and office functions

Required competencies and certifications

• Diploma or relevant working experience
• Proficiency in Microsoft Excel, Word, and Outlook to manage documentation and communication effectively
• Strong organisational skills to manage multiple tasks with attention to detail
• Effective communication and interpersonal skills to collaborate with internal teams and external clients

Preferred competencies and qualifications

• Experience in maintenance, construction, or contract administration to enhance operational support
