Branch Supervisor

NextMed Clinic – KL / Cheras Branch

Location: Kuala Lumpur / Cheras
Position: Branch Supervisor

Job Purpose

The Branch Supervisor is responsible for the day-to-day performance and operations of the clinic, including branch sales, patient experience, staff productivity, appointment follow-up and overall service standards.

This is a hands-on leadership role. You will work closely with doctors and the management team to ensure the branch operates smoothly, patients are well taken care of, and monthly targets are achieved.

Key Responsibilities1. Branch Sales & Performance

  • Take ownership of the branch's monthly sales target.
  • Monitor daily, weekly and monthly sales performance.
  • Track appointments, patient attendance, consultations and treatment conversions.
  • Identify reasons for underperformance and implement improvement actions.
  • Work with doctors and the clinic team to improve patient conversion and retention.
  • Ensure potential patients and opportunities are properly followed up.

2. Patient Follow-Up & Appointment Management

Ensure the team consistently follows up on:

  • New enquiries and leads
  • Appointment bookings
  • Unresponsive leads
  • No-shows and cancellations
  • Patients who consulted but have not proceeded with treatment
  • Post-treatment reviews
  • Existing patient recalls
  • Maintenance treatments and repeat appointments

No genuine patient enquiry should be left unattended.

3. Patient Experience & Customer Service

  • Ensure patients receive professional, warm and consistent service.
  • Monitor the patient journey from registration to consultation, treatment, payment and follow-up.
  • Manage patient feedback and complaints professionally.
  • Escalate medical or serious service issues to the doctor or management promptly.
  • Build long-term relationships with patients and encourage patient retention.

4. Team Supervision & Productivity

Supervise the branch team, including Customer Service, Beauticians/Therapists, Clinic Assistants and other support staff.

Responsibilities include:

  • Daily task allocation
  • Staff attendance and punctuality
  • Staff productivity
  • Service standards
  • Training and coaching
  • Team discipline
  • SOP compliance
  • Staff performance monitoring
  • Creating a positive and accountable working environment

A Branch Supervisor should not simply do everything personally — you are responsible for ensuring that the whole team performs effectively.

5. Sales & Patient Conversion

This is not a hard-selling role.

The Supervisor should ensure the team can:

Understand the patient's concern → Identify their needs → Support the doctor's recommendation → Address concerns → Follow up → Help the patient make an informed decision.

You will help the team improve:

  • Appointment booking
  • Show-up rate
  • Consultation-to-treatment conversion
  • Patient follow-up
  • Repeat treatments
  • Patient retention

All recommendations must remain ethical and based on the patient's needs and the doctor's medical advice.

6. Daily Clinic Operations

Ensure smooth daily operations, including:

  • Clinic opening and closing
  • Doctor and patient schedules
  • Treatment room readiness
  • Clinic cleanliness and presentation
  • Stock and consumables
  • Equipment readiness
  • Patient documentation
  • Payment procedures
  • SOP compliance
  • Resolving operational issues promptly

7. Reporting & Problem Solving

Prepare a simple weekly branch performance report covering:

  • Weekly and month-to-date sales
  • Sales target achievement
  • New leads
  • Appointments booked
  • Patient show-up
  • Consultations
  • Treatment conversion
  • Patient issues/complaints
  • Staff performance/issues
  • Operational issues

The Supervisor should also identify:

3 key observations/problems
3 actions to improve the following week

We expect supervisors to understand the numbers, identify problems and take action, rather than simply submit reports.

Key Performance Indicators (KPI)

Performance will be measured based on:

1. Branch Sales Achievement – 30%
Achievement of monthly branch sales target.

2. Appointment & Conversion Performance – 20%
Booking, show-up, consultation and treatment conversion.

3. Patient Experience & Retention – 15%
Patient satisfaction, reviews, complaints, follow-up and repeat visits.

4. Team Productivity & Management – 15%
Attendance, productivity, teamwork, training and performance.

5. Branch Operations – 10%
SOP compliance, stock control, clinic readiness and operational standards.

6. Reporting & Problem Solving – 10%
Accurate reporting, initiative, problem identification and execution of action plans.

Requirements

  • Minimum 2–3 years of experience in a supervisory, customer service, sales, retail, beauty, healthcare or clinic environment.
  • Previous experience in aesthetic clinic, beauty, wellness, healthcare or premium service industry is an advantage.
  • Strong leadership and people-management skills.
  • Comfortable working with sales targets and performance numbers.
  • Good customer service and communication skills.
  • Able to handle patient concerns and complaints professionally.
  • Proactive and able to solve problems independently.
  • Responsible, organised and results-oriented.
  • Basic knowledge of Excel / Google Sheets and reporting.
  • Able to work on weekends when required.

Language Requirement

Mandarin-speaking candidates are strongly preferred, as the role requires regular communication with Mandarin-speaking patients and team members.

Good command of English and Bahasa Malaysia is also required.
