Job Description

Responsibilities

Introduction

We are looking for a trust administration professional to independently manage a portfolio of private trusts or corporate trusts, employee share plan (ESOP/RSU) trust structures. You will handle the day-to-day administration of trusts and underlying companies, regulatory filings, and client relationship support, while working closely with legal, tax, and banking teams. This role offers a genuine career path in fiduciary services, cross-border compliance, and wealth succession.

Key Responsibilities

Trust & Underlying Company Administration

• Independently maintain and administer a portfolio of private trusts, corporate trusts, and employee share plan structures (including ESOPs/EBTs)

• Handle day-to-day administration including drafting resolutions and minutes, fund transfers, share vesting, and updating bank signatories

• Assist in drafting and reviewing trust deeds and related legal documents

• Handle distribution, transfer, and termination of trusts

Compliance & Regulatory Filing

• Responsible for FATCA/CRS reporting, Economic Substance filing, and Director Information (DI) filing

• Conduct KYC/CDD reviews and due diligence, identifying legal, investment, or tax issues relating to trusts and underlying companies under administration

• Participate in compliance restructuring projects and high-risk client reviews

Client Relationship & Business Support

• Work closely with trust relationship managers to maintain and grow relationships with high-net-worth clients

• Support client onboarding, including preparing proposals, engagement letters, and trust documentation

• Liaise with legal advisors, tax advisors, auditors, and custodian banks on an ongoing basis

Financial & Fee Administration

• Maintain trust accounts and perform reconciliations; support annual audits and tax filings

• Manage fee arrangements and invoicing

Requirements

• Degree holder in accountancy, business, law, or a related discipline

• Minimum 2 years of experience in trust administration, corporate secretarial work, or related financial services (experience with employee share plans/ESOP is a plus)

• Familiar with FATCA/CRS reporting and KYC/AML/CDD processes

• Detail-oriented with strong stakeholder coordination and independent working ability

• Fluent in English; Cantonese/Mandarin proficiency depending on business needs
