Location: Kuala Lumpur
Key Responsibilities:
Administrative Duties:
- Manage office administrative tasks such as filing, documentation, correspondence, and record-keeping.
- Assist in procurement of office supplies and ensure inventory is well-stocked.
- Coordinate with internal departments for administrative support.
- Prepare and maintain reports, memos, and schedules as required
- Building & Facilities Maintenance:
- Oversee and ensure proper maintenance of office premises and facilities.
- Liaise with contractors, vendors, and service providers for repairs, servicing, and facility upgrades.
- Conduct regular inspections of building systems (electrical, plumbing, air-conditioning, security).
- Ensure timely preventive maintenance and prompt response to breakdowns or repairs.
- Handle IT maintenance set up computer / machine photostat.
- Health, Safety & Compliance:
- Ensure workplace safety standards are met and comply with company and regulatory requirements.
- Coordinate safety drills and ensure fire safety equipment is maintained.
- Monitor security systems (CCTV, access cards, etc.) and liaise with security service providers.
- Vendor & Asset Management:
- Maintain records of service contracts, warranties, and assets.
- Evaluate vendor performance and negotiate maintenance contracts when needed.
- Support Services:
- Provide administrative support for company events or projects.
- Assist in coordinating office relocations, renovations, or upgrades.
Requirements:
- Diploma/Degree in Electrical Engineering, Facilities Management, or related field.
- At least 1–3 years’ experience in admin and facility/building maintenance.
- Knowledge of office management, building systems, IT maintenance set up and vendor coordination.
- Strong organizational and problem-solving skills.
- Ability to work independently and handle multiple tasks efficiently.
Skills:
- Excellent communication and interpersonal abilities.
- Basic knowledge of budgeting and cost control.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Basic knowledge of IT maintenance
