Role Overview
As a
Project Lead
at PIXO Events, you will play a key role in operation planning, coordinating, and executing events from concept to completion. You will work closely with clients, vendors, and internal teams to ensure every project is delivered smoothly, on time, and to PIXO’s high standards.
This role is ideal for team players who thrive in a fast-paced environment, have strong attention to detail, and are eager to grow within the events industry.
Key Responsibilities
1) Event Planning & Coordination
Take charge of the planning, organization, and execution of events such as corporate functions, product launches, exhibitions, conferences, and hybrid events.
Support the development of event concepts, timelines, and production schedules.
Plan and coordinate logistics including venue setup, program flow, transportation, and manpower deployment.
Manage asset returns, venue handover inspections and vendor reconciliation. Conduct operational after-action reviews for .
2) Vendor & Contractor Management
Source, negotiate and collaborate with vendors for key services such as Audio-Visual, lighting, logistics, catering, registration and production crews.
Manage vendor timelines, deliveries, and on-site execution.
3) Drive Operational Effectiveness
Manage operational budgets, allocate internal/external resources efficiently, and minimize operational wastage
Prepare and check event documentation: proposals, quotations, budgets, production schedules, and event reports.
Submit and secure venue approvals, relevant permits and licences
Track project-related resources and ensure proper and timely procurement.
4) On-Site Event Responsibilities
Supervise on-site setup, registration, rehearsals, VIP coordination, and event flow.
Troubleshoot and resolve operational issues during events.
Guide and supervise on-site team ( including event crew) to ensure seamless coordination and event execution
Ensure all executions align with PIXO Events’ brand quality and professionalism.
5) Stakeholder Management
Act as a point of contact for clients to ensure their needs and expectations are met.
Participate in client meetings, proposal discussions, and event briefings.
Contribute to clear communications between internal teams, vendors, and stakeholders.
Requirements
6 years of working experience in the events, conference, marketing, or related fields. Applicants with extensive and supervisory experience will be considered for senior roles.
Diploma or Degree in Events Management, Marketing, Business, or related disciplines.
Strong organizational skills with the ability to handle multiple projects simultaneously.
Excellent communication and interpersonal skills.
You are a detail-oriented planner who remains calm under tight timelines
Ability to thrive in a fast-paced, deadline-driven environment.
Proactive, resourceful and creative team player.
Willing and able to work outside normal office hours during peak event periods.
Proficient in Microsoft Office (Word, Excel, Powerpoint); familiarity with design or project-management tools is a plus.
