Job Summary
We are looking for a responsible and organized Operations Admin to support our daily operations. The role involves managing routine administrative paperwork, coordinating logistics, communicating with customers, and assisting the operations team to ensure work processes run smoothly an deficiently.
Responsibilities
Manage routine administrative documentation by preparing and issuing PR, MMR, service reports, and inspection reports to support daily operations
Coordinate job schedules, paperwork, and work progress updates with technicians and mechanics to ensure timely completion of tasks
Process damage claims by preparing and sending accurate quotations to customers when required
Assist in logistics coordination for delivery, collection, and deployment of machines or equipment to support operational needs
Support sourcing and purchasing of spare parts for repair and maintenance by liaising with suppliers and internal departments to ensure timely procurement
Maintain organized records and filing of operational documents for easy tracking and reference
Ensure compliance with company operational procedures and logistics requirements to maintain smooth workflows
Provide general administrative support to the operations team as needed to facilitate daily activities
Preferred competencies and qualifications
Proficiency in MS Office to efficiently manage documentation and communication
Strong administrative and organizational skills demonstrated by maintaining accurate records and managing multiple tasks
Meticulous attention to detail to ensure accuracy in documentation and claims processing
Ability to work effectively in a fast-paced environment to meet operational deadlines
Spoken proficiency in Mandarin is a plus to facilitate communication with mainly Mandarin-speaking customers
