About Cortex AI

Cortex AI collects diverse, real-world data to support the development of AI and robotic systems. We work with businesses and real workplaces to capture egocentric human activity data and robot interaction data in authentic working environments.


We are looking for a resourceful and outgoing Location Scout & Deployment Coordinator to identify suitable workplaces throughout Johor, build relationships with business owners and coordinate on-site data-collection deployments.


Role Overview

You will be responsible for finding real workplaces where our teams can safely collect egocentric and robot data. This includes researching prospective locations, contacting business owners, conducting site visits, assessing operational suitability, explaining the project, securing participation and coordinating deployments with our internal team.


Suitable workplaces may include workshops, factories, warehouses, farms, laboratories, kitchens, bakeries, retail operations and other environments involving useful manual work.


This is a hands-on field role suited to someone who is comfortable meeting new people, visiting unfamiliar workplaces and following opportunities from initial contact through deployment.


Key Responsibilities

Location sourcing and outreach

- Research and identify suitable workplaces across Johor.

- Build a pipeline of potential workplace partners through online research, referrals, industry associations, local networks, cold calls and in-person visits.

- Contact owners, managers and decision-makers to introduce Cortex AI and explain the proposed data-collection activities.

- Maintain accurate records of prospective locations, contacts, discussions and follow-up actions.

- Develop relationships with local businesses, industry groups, property operators and community networks.


Site assessment

- Conduct preliminary calls and physical site visits.

- Assess each location based on task suitability, workspace layout, safety, lighting, connectivity, accessibility, operating hours and available space.

- Identify work activities suitable for egocentric or robot data collection.

- Take approved photographs, measurements and site notes for internal evaluation.

- Identify operational constraints such as confidential areas, customer exposure, production interruptions, safety risks and restricted equipment.

- Prepare concise site-assessment reports and recommendations.


Partner coordination

- Clearly explain the project scope, data-collection process, equipment setup, expected disruption and responsibilities of each party.

- Discuss availability, access arrangements and proposed compensation with workplace owners within company-approved parameters.

- Coordinate consent, site-access documentation and other required approvals.

- Ensure the partner understands what may be recorded and identify any areas, people, documents or information that must not be captured.

- Maintain professional communication with workplace partners before, during and after each deployment.


Deployment coordination

- Coordinate deployment dates between workplace partners and the internal operations team.

- Confirm site readiness, schedules, access instructions, parking, power, internet and relevant safety requirements.

- Support the data-collection team during setup and initial on-site deployment when required.

- Help resolve scheduling, access and operational issues during deployment.

- Collect feedback from workplace partners and assist with follow-up or repeat deployments.

- Provide regular reports on the location pipeline, site status, risks and upcoming deployments.


Expected Deliverables

During the three-month contract, the coordinator will be expected to:

- Build and maintain a qualified pipeline of suitable workplaces across Johor.

- Complete preliminary assessments and site reports for shortlisted locations.

- Secure a mutually agreed number of deployment-ready workplace partners.

- Coordinate confirmed deployments from site approval through operational handover.

- Maintain complete records of communications, approvals, restrictions and deployment requirements.

- Produce a final handover report covering active leads, secured partners, completed deployments and recommendations.


Specific numerical targets will be agreed after onboarding and will account for workplace type, deployment complexity and geographic coverage.


Requirements

- Diploma or degree in business, communications, events, operations, logistics, engineering, media production or a related field is preferred.

- At least one year of relevant experience in field operations, business development, sales, event or production coordination, project coordination, location scouting or community engagement.

- Confident approaching business owners and speaking with senior decision-makers.

- Strong relationship-building, negotiation and follow-up skills.

- Able to evaluate locations systematically and prepare clear written reports.

- Highly organised and able to manage multiple leads, site visits and deployment schedules.

- Comfortable working independently and travelling frequently within Johor.

- Proficient in English and Bahasa Malaysia. Mandarin or other locally relevant languages would be an advantage.

- Able to use spreadsheets, shared documents, messaging applications and basic CRM or lead-tracking tools.

- Possession of a valid driving licence and access to personal transport is strongly preferred.


Preferred Experience

- Existing connections with businesses, factories, workshops, farms, laboratories, food-production facilities or other workplace operators in Johor.

- Experience obtaining permission to film, conduct research or run temporary operations at third-party premises.

- Experience in production location scouting, field research, partnership development, recruitment, events or equipment deployment.

- Familiarity with workplace safety, risk assessments or technical equipment deployment.

- Interest in robotics, artificial intelligence or real-world data collection.


Technical robotics knowledge is not required. Training on our data-collection requirements and site-assessment process will be provided.
