Job Description

Responsibilities

KEY RESPONSIBILITIES

1. Pharmacy Operations

  • Oversee day-to-day wholesale operations involving pharmaceutical, healthcare and related products.
  • Ensure proper receiving, storage, handling and distribution of products.
  • Ensure products are maintained under appropriate storage conditions.
  • Monitor stock movement, expiry dates, batch numbers and product traceability.
  • Ensure proper documentation for all incoming and outgoing products.
  • Support the development and implementation of wholesale pharmacy SOPs.

2. Regulatory Compliance

  • Ensure wholesale activities comply with applicable Malaysian pharmacy, pharmaceutical and healthcare regulations.
  • Maintain and monitor relevant licences, permits and regulatory documentation.
  • Liaise with relevant regulatory authorities where required.
  • Ensure products handled by the company comply with applicable registration and regulatory requirements.
  • Monitor regulatory changes and advise management on relevant requirements.
  • Ensure proper records are maintained for regulatory inspections and audits.

3. Responsible Pharmacist / Pharmacist-in-Charge Duties

  • Act as the responsible pharmacist / pharmacist-in-charge where required by the applicable licence and regulatory requirements.
  • Ensure professional standards are maintained across wholesale operations.
  • Provide professional oversight of pharmaceutical product handling and distribution.
  • Ensure appropriate procedures are followed for controlled, restricted or regulated products where applicable.

4. Inventory & Warehouse Management

  • Monitor inventory levels and ensure adequate stock availability.
  • Conduct regular stock checks and reconciliation.
  • Monitor product expiry, batch numbers, damaged stock and stock discrepancies.
  • Implement appropriate procedures for near-expiry, expired, recalled or damaged products.
  • Work with the warehouse team to ensure proper storage and stock rotation practices.
  • Support inventory forecasting and stock planning.

5. Procurement & Supplier Management

  • Support procurement activities for pharmaceutical, healthcare, wellness and related products.
  • Liaise with suppliers, manufacturers and distributors.
  • Evaluate product documentation and supplier compliance where required.
  • Monitor purchasing quantities, pricing, delivery schedules and product availability.
  • Maintain appropriate supplier and product records.

6. Product Registration & Documentation

  • Support product registration and regulatory documentation where applicable.
  • Review product information, labels, packaging and supporting documentation for compliance.
  • Maintain updated records of product registrations, licences and regulatory approvals.
  • Coordinate with suppliers and relevant departments to obtain required regulatory documents.

7. Quality Assurance & Product Safety

  • Ensure products are handled according to applicable quality and safety requirements.
  • Monitor storage conditions and maintain appropriate records.
  • Assist in handling product complaints, quality issues and recalls.
  • Investigate stock discrepancies and product-related issues.
  • Support corrective and preventive actions where required.

8. Wholesale Distribution

  • Ensure orders are processed and distributed accurately.
  • Verify product, batch and quantity information before dispatch where required.
  • Ensure appropriate documentation accompanies wholesale deliveries.
  • Monitor distribution records and maintain product traceability.
  • Coordinate with logistics and warehouse teams to ensure timely deliveries.

9. Reporting & Administration

  • Prepare regular reports relating to inventory, wholesale activities, product movement and regulatory matters.
  • Maintain accurate records and documentation.
  • Assist management with business and operational analysis.
  • Support internal and external audits and regulatory inspections.
  • Perform other duties related to pharmaceutical wholesale operations as assigned by management.

REQUIREMENTS

  • Bachelor's Degree in Pharmacy or equivalent qualification recognised in Malaysia.
  • Registered Pharmacist with the Pharmacy Board Malaysia.
  • Possess a valid Annual Practising Certificate (APC).
  • Experience in wholesale pharmacy, pharmaceutical distribution, regulatory affairs, warehouse operations or pharmaceutical supply chain is preferred.
  • Experience dealing with pharmaceutical suppliers, distributors or regulatory authorities will be an advantage.
  • Strong knowledge of Malaysian pharmaceutical and pharmacy regulatory requirements.
  • Good understanding of pharmaceutical storage, inventory control and distribution practices.
  • Strong attention to detail and documentation skills.
  • Good communication, interpersonal and problem-solving skills.
  • Able to work independently and coordinate effectively with internal and external stakeholders.
  • Proficient in Bahasa Malaysia, English and Mandarin.
  • Willing to travel or attend regulatory / supplier meetings when required.

Pay: RM4,500.00 - RM6,000.00 per month
