Job Summary
The Senior Account and Admin Executive is responsible for managing the company's day-to-day accounting operations and administrative functions. This role ensures accurate financial record-keeping, supports budgeting and reporting processes, and oversees general office administration to keep the institution running smoothly and efficiently.
Key Responsibilities
Accounting & Finance
- Manage accounts payable and receivable, including invoicing, payments, and collections
- Maintain accurate financial records and ensure timely bank reconciliations
- Prepare monthly, quarterly, and annual financial reports and statements
- Assist in budget preparation, monitoring, and variance analysis
- Handle petty cash management and expense claims
- Liaise with auditors and secretary during internal and external audits
- Ensure compliance with relevant financial regulations, tax requirements, and college policies
- Process payroll or coordinate with payroll providers, as applicable
Administration
- Oversee daily administrative operations, including procurement, vendor management, and office supplies
- Maintain and update student/staff records and administrative databases
- Coordinate with department heads on administrative and logistical needs
- Manage correspondence, filing systems, and documentation (physical and digital)
- Support HR-related administrative tasks (e.g., staff onboarding, leave records)
- Ensure compliance with institutional policies and relevant regulatory requirements
- Supervise junior admin/accounts staff, where applicable
Requirements
- Minimum Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field
- Minimum 2 years of relevant experience in accounting and administrative roles
- Proficiency in accounting software (e.g., SQL Accounting, QuickBooks, Xero) and Microsoft Office (especially Excel)
- Strong understanding of bookkeeping principles and financial reporting
- Excellent organizational and multitasking skills
- Strong attention to detail and accuracy
- Good communication and interpersonal skills
- Ability to work independently and handle confidential information with discretion
Pay: RM3,500.00 - RM4,000.00 per month
