Job Summary
The Logistic cum Administrative Assistant is responsible for supporting the Company’s daily logistics, delivery coordination, inventory movement and general administrative activities. The role requires good organisation, attention to detail and the ability to coordinate effectively with suppliers, drivers, customers and internal departments.
Key Responsibilities
1. Logistics & Delivery Coordination
- Coordinate daily deliveries, collections and transportation arrangements.
- Prepare delivery orders, invoices, packing lists and other relevant documents.
- Coordinate with drivers and delivery personnel on delivery schedules and routes.
- Monitor delivery status and follow up on delays or delivery issues.
- Ensure goods are properly checked, packed and prepared before dispatch.
- Assist in coordinating the movement of goods between outlets, warehouse and customers.
- Maintain proper records of deliveries, collections and returned goods.
- Liaise with suppliers and third-party logistics providers when required.
2. Inventory & Stock Support
- Assist in monitoring stock movement and inventory records.
- Check incoming and outgoing goods against delivery documents.
- Report discrepancies, damaged goods or missing items to the supervisor.
- Assist with stock counts and periodic inventory checks.
- Ensure proper documentation for stock transfers between locations.
3. Administrative Duties
- Perform general administrative and data-entry duties.
- Maintain and update records, filing systems and documentation.
- Prepare reports, schedules and other administrative documents as required.
- Process purchase orders, delivery orders, invoices and related paperwork.
- Assist with staff, supplier and customer documentation.
- Handle emails, phone calls and general enquiries when required.
- Provide administrative support to the Operations and Management teams.
4. Coordination & Communication
- Communicate effectively with drivers, warehouse staff, suppliers, customers and internal departments.
- Follow up on outstanding deliveries, orders and administrative matters.
- Escalate operational issues or discrepancies to the immediate supervisor promptly.
- Ensure all logistics and administrative activities are carried out accurately and on time.
5. Other Duties
- Maintain confidentiality of Company information and documents.
- Follow Company policies, procedures and safety requirements.
- Assist with other operational or administrative duties assigned by Management from time to time.
