ROLE SUMMARY
Kaisar Pharmacy is seeking an experienced, hands-on and dependable Assistant Manager – Human Resource & Administration to strengthen our people operations across our headquarters and multiple pharmacy outlets.
The successful candidate will oversee day-to-day HR and administrative functions, including recruitment, employee relations, performance management, payroll coordination, HR compliance and staff development.
This position is suitable for a strong HR generalist who can balance employee needs with business requirements, manage sensitive matters professionally and ensure that HR processes are completed accurately and on time.
KEY RESPONSIBILITIES
- Manage end-to-end recruitment, including job advertisements, candidate screening, interviews, employment offers, onboarding and orientation.
- Maintain accurate employee records, contracts, attendance, leave, medical certificates, overtime and employee information in the HRMS (Info-Tech).
- Coordinate monthly payroll inputs with the Finance Department and ensure all information is accurate and submitted within the payroll cut-off date.
- Manage probation reviews, confirmations, transfers, promotions, resignations, exit clearance and the return of Company property.
- Handle employee grievances, disciplinary matters, absenteeism and workplace conflicts fairly, professionally and confidentially.
- Conduct fact-finding and prepare show-cause letters, warning letters, investigation records and other HR correspondence for management review.
- Coordinate employee performance appraisals, performance improvement plans and follow-up actions.
- Identify training requirements and maintain training plans, attendance records and effectiveness reviews.
- Monitor headcount, vacancies, staff turnover, attendance, overtime, leave and outstanding HR matters across HQ and all outlets.
- Maintain and improve HR policies, standard operating procedures and compliance records.
- Develop, maintain and periodically review the Employee Handbook, ensuring company policies, procedures and employment practices are clearly communicated and compliant with applicable Malaysian employment requirements
- Ensure HR practices comply with applicable Malaysian employment and statutory requirements.
- Prepare weekly and monthly HR reports for Management, highlighting key workforce issues, risks and recommended corrective actions.
- Supervise and guide the HR and Admin team while working closely with outlet managers and other department heads.
- Oversee general office administration, visitor records, workplace standards, assigned Company assets and vehicle or fuel-use records.
- Carry out other reasonable HR and administrative responsibilities assigned by Management.
JOB REQUIREMENTS
- Diploma or bachelor’s degree in Human Resource Management, Business Administration, Psychology, Law or a related field.
- Minimum 5 years of relevant HR generalist experience, including at least years in a supervisory or team-lead role.
- Practical experience in recruitment, employee relations, disciplinary procedures, HR operations, payroll inputs and performance management.
- Working knowledge of Malaysian employment practices and statutory HR requirements.
- Strong written and spoken Bahasa Malaysia and English.
- Proficient in HRMS and Microsoft Office applications.
- High level of integrity, confidentiality and attention to detail.
- Strong judgement with the confidence to manage difficult conversations professionally.
- Able to work independently, priorities multiple responsibilities and meet deadlines in a fast-paced environment.
- Experience supporting a multi-outlet retail, pharmacy or healthcare organization will be an added advantage.
