Job Description

Responsibilities

Main Purpose of Role:

The main purpose of this role is to ensure administrative; finance and HR matters and processes is sustained for smooth operations. This is an office-based role that requires excellent attendance and punctuality is essential. You are expected to:

HR

1. Ensure accurate employee records, contracts, and HR documentation are always maintained and kept audit ready.

2. Manage attendance records, leave entitlements, and employee related HR matters, resolving issues and discrepancies directly.

3. Prepare, review, and issue offer letters, employment contracts, and onboarding documentation, ensuring accuracy and compliance.

4. Manage end to end recruitment process from sourcing, screening, interviews, and managing the hiring process through to offer.

5. Handle employee onboarding and offboarding processes, including new joiner orientation, induction programs, and exit procedures.

6. Process and finalize monthly payroll, ensuring timely and accurate submission of statutory contributions (EPF, SOCSO, EIS, PCB) and compliance with statutory requirements.

7. Prepare and submit statutory reports (Borang A, 8A, CP39) and EA forms during tax season, liaising with authorities as needed.

Admin

8. Review and verify staff overtime and travel claims prior to HQ processing.

9. Coordinate and manage staff travel arrangements, including flight and hotel bookings, working closely with finance department.

10. Manage monthly petty cash, ensuring proper documentation and timely reconciliation.

11. Manage office administration, including access control, asset management, and procurement of office supplies and consumables.

12. Liaise directly with government bodies, external parties, and service providers.

Qualifications, Skills and Experience:

1. Diploma/Degree in HR, Business Administration, Operations management or equivalent

2. At least 2 years of experience in administrative role or operations management

3. Computer literate – mandatory

4. Highly discreet in managing private and confidential information

5. Malaysian ONLY

3. Ability to operate and plan in a rapidly changing environment

4. Ability to work independently with minimal supervision

Pay: RM6,000.00 - RM8,000.00 per month
