Responsibilities
Location: Setia City Mall
Working Arrangement: 5 days per week
Working Schedule: Must be willing to work on weekends, as the Dance Centre operates in a retail premises and weekend work is compulsory.
KEY RESPONSIBILITIES
1. Centre Administration & Operations
Oversee the day-to-day administrative operations of the Ballet School.
Ensure the Dance Centre is well organised, presentable and operational at all times.
Coordinate class schedules, studio bookings, teacher schedules and replacement classes.
Monitor daily attendance, student records and class capacity.
Maintain accurate student, parent and administrative records.
Handle general office administration, documentation and filing.
Coordinate with the management team on operational matters and follow-up actions.
Liaise with Setia City Mall management and relevant parties on operational matters when required.
2. Parent & Student Relations
Act as the main point of contact for parents and students regarding classes, schedules, fees, events and general enquiries.
Respond to parents' enquiries and provide accurate and timely information.
Handle feedback, complaints and service-related matters professionally.
Build and maintain good relationships with parents and students.
Follow up with parents regarding enrolment, class changes, make-up classes and other administrative matters.
Assist prospective parents and students with class enquiries, trial classes and registration.
3. Student Enrolment & Fee Administration
Manage new student registrations, enrolments, withdrawals and transfers.
Monitor monthly school fees, outstanding payments and follow-up with parents where necessary.
Issue invoices, receipts and other relevant payment documentation.
Maintain accurate records of student fees and payment status.
Coordinate with the finance/accounts team on payment and collection matters.
Assist in preparing monthly administrative and enrolment reports.
4. Class & Teacher Coordination
Coordinate with ballet teachers and instructors regarding class schedules, attendance and operational requirements.
Arrange replacement teachers/classes where required and approved.
Ensure teachers are informed of relevant student and class updates.
Assist in coordinating examinations, assessments, workshops, masterclasses and other school activities.
Monitor class attendance and follow up on frequent absences where necessary.
5. Events & School Activities
Assist in the planning and execution of ballet school events, performances, examinations, workshops and student activities.
Coordinate administrative arrangements for rehearsals, performances and competitions.
Communicate event information, schedules and requirements to parents and students.
Assist with costumes, registrations, event documentation and other administrative matters when required.
6. Customer Service & Sales Support
Promote the Dance Centre's classes, programmes, workshops and activities to prospective students.
Assist with enquiries through walk-ins, phone calls, WhatsApp and other communication channels.
Follow up on trial class enquiries and prospective student leads.
Support student retention and re-enrolment initiatives.
Provide a positive and professional customer experience.
7. Reporting & Administrative Support
Prepare regular reports relating to student enrolment, attendance, fees and centre operations.
Maintain proper documentation and records for audit and management purposes.
Assist the Centre Manager/Management with administrative projects and other duties as assigned.
Identify administrative or operational issues and recommend practical solutions.
REQUIREMENTS
Diploma or Bachelor's Degree in Business Administration, Management, Education, Hospitality or a related field.
Minimum 3–5 years of experience in administration, school administration, customer service, education, retail or a similar environment.
Experience in managing a tuition centre, dance school, academy or other education/retail-based centre will be an added advantage.
Strong communication and interpersonal skills, particularly in dealing with parents and students.
Good organisational and time-management skills.
Able to handle multiple tasks and work in a fast-paced environment.
Proficient in Microsoft Office, Google Workspace and/or relevant administrative systems.
Mandarin-speaking ability will be an added advantage.
Mature, responsible, proactive and customer-oriented.
Able to work independently as well as as part of a team.
Willing to work 5 days per week, including weekends, with off-days arranged on weekdays according to the centre's operational schedule.
