We are looking for a Operational Personal Assistant to work closely with the Founder of Casa Bambini.
This is not a purely desk-based Personal Assistant position. The role combines administrative support, operational coordination, centre observation, staff follow-up, and project support.
The successful candidate will first learn how Casa Bambini operates from the ground up by spending time within our centres and understanding daily workflows, staff responsibilities, centre standards, parent communication, and operational processes.
As competency and trust develop, the role will progressively take on greater responsibility across operations, people management, quality monitoring, recruitment, projects, and business support.
This role is suitable for someone who is organised, dependable, observant, willing to learn, and interested in developing into a larger operational or management role over time.
Responsibilities
- Support the Founder with scheduling, meetings, correspondence, documentation, and follow-ups.
- Attend meetings and site visits with or on behalf of the Founder when required.
- Take meeting minutes, track action items, and follow up with relevant staff until completion.
- Liaise with Casa Bambini branches to communicate instructions and monitor assigned tasks.
- Follow up on deadlines, outstanding matters, and branch deliverables.
- Support hands-on centre operations to develop a strong understanding of the business.
- Observe operational practices and identify gaps, inconsistencies, or areas requiring improvement.
- Assist with monitoring centre standards, SOP implementation, and operational quality.
- Support recruitment coordination, interview arrangements, onboarding, and staff follow-ups.
- Assist the Founder with operational issues and internal projects.
- Coordinate with Principals, Supervisors, Teachers, support staff, vendors, and contractors when required.
- Prepare simple reports, summaries, briefing materials, and operational updates.
- Handle confidential business, staff, financial, and operational information professionally.
- Take ownership of selected projects and responsibilities as competency develops.
Requirements
- Minimum SPM or Diploma in any field.
- Minimum 2 years of working experience preferred.
- Experience in administration, operations, education, childcare, hospitality, retail, HR, or executive support is an advantage.
- Previous experience supporting a business owner, manager, department head, or senior executive is an added advantage.
- Good spoken and written English.
- Ability to communicate in Bahasa Malaysia is preferred.
- Good organisational and time-management skills.
- Able to communicate clearly and professionally.
- Able to observe situations carefully and report information accurately.
- Strong follow-up skills and ability to complete tasks without constant reminders.
- Comfortable receiving direct feedback and making improvements.
- Willing to perform both administrative and hands-on operational duties.
- Comfortable working in a childcare environment.
- Willing to travel between Casa Bambini branches.
- Own transport is strongly preferred.
- Willing to work flexible hours when required by business operations.

Pay: From RM2,000.00 per month
