Requirements

  • Relevant experience as a Personal Assistant, Executive Assistant, or in a coordination role supporting a senior leader, founder, or busy executive. Practical experience matters more than a particular degree.
  • Strong organisation and attention to detail, with a reliable system for tracking commitments and following through.
  • Clear, professional written and spoken English. Mandarin is an advantage for relevant business communication.
  • Confidence using calendars, email, documents, spreadsheets, and task-tracking tools, with the ability to learn new systems quickly.
  • Familiarity with AI tools such as ChatGPT, Claude, or similar platforms, with practical experience using them to draft correspondence, summarise information, research, and organise tasks. Able to check outputs for accuracy and protect confidential information.
  • An enthusiastic, proactive approach. You enjoy learning, take initiative, and bring energy to helping the CEO and team get things done.
  • Good judgment when priorities compete: you can clarify what matters, adapt plans, and raise issues before they become problems.
  • Confidence to communicate politely and firmly, ask useful questions, and work within agreed approval limits.
  • Discretion, integrity, and respect for professional boundaries.

Are you the person who spots a scheduling clash before it happens, remembers the detail everyone else missed, and follows through without needing reminders?

At Atomic Group, we’re looking for a capable, proactive Personal Assistant to support our CEO, Jon Lai. You’ll bring structure to a busy schedule, prepare him for meetings, and make sure decisions lead to clear next steps.

Atomic Group is a Malaysian multi-brand consumer health and wellness company. Working closely with the CEO, you’ll gain firsthand exposure to how priorities, people, and decisions come together across different teams and brands.

This role combines executive support with practical personal assistance. It suits someone who enjoys taking ownership, handles confidential matters with care, and stays calm when plans change.

What you’ll do

  • Manage the CEO’s calendar and priorities. Coordinate appointments, resolve clashes, protect focus time, and ensure each meeting has a clear purpose and the right preparation.
  • Keep meetings prepared and actions moving. Organise agendas and supporting materials, capture key decisions, and track action items, owners, and deadlines.
  • Follow through across teams. Coordinate with colleagues across the group, check progress, and flag delays early with concise updates.
  • Handle communication with good judgment. Screen requests, organise correspondence, direct routine matters to the right person, and recognise when the CEO’s attention or approval is needed.
  • Coordinate travel and logistics. Arrange transport, accommodation, and itineraries; check the details; and manage changes and expense records within agreed budgets.
  • Provide practical personal support. Coordinate personal appointments, reservations, and agreed errands, keeping personal and company expenses clearly separate.
  • Keep information organised and confidential. Maintain reliable records and handle business information, private conversations, and personal details with discretion.
  • Use AI to improve everyday workflows. Apply AI tools to meeting preparation, document drafting, research, and follow-up tracking, while maintaining accuracy and discretion.
