ExodusPoint has brought together an accomplished team, with hands-on experience running multi-manager businesses, to create an institutional investment management firm.

JOB DESCRIPTION

ExodusPoint is seeking a highly organized, professional, and meticulous Business Assistant to help support our Hong Kong investment team. This role will primarily focus on coordinating travel, timely processing of expense reports, and ad-hoc administrative support as needed. The ideal candidate should be able to solve problems, communicate clearly, and take initiative while keeping the team running smoothly and efficiently. They should be able to work in a fast-paced, dynamic environment while remaining professional, as well as being able to multitask, and have excellent judgement.

Responsibilities:

  • Calendar Management: Coordinating and managing complex calendars by serving as a primary point of contact, including scheduling meetings, appointments, and travel arrangements. Prioritizing conflicting demands and ensuring the most efficient use of the executive’s time.
  • Meeting Support: Preparing agendas, materials, and presentations for meetings, and following up on any action items to ensure completion timely.
  • Travel Coordination: Arranging all aspects of domestic and internal travel (i.e., securing visas, flights, hotels, cars, venue reservations, creating detailed itineraries and providing support when needed)
  • Administrative Support: Providing general administrative support to executives, such as screening phone calls, drafting and preparing correspondence, managing contacts, and handling special projects and initiatives assigned.
  • Relationship Management: Building and maintain positive relationships with clients, partners, and colleagues on behalf of the Senior Management Team.
  • Expense Processing: Processing and tracking expense reports, reconciling credit card statements, and maintaining accurate records that align with the T&E policy best practices.

Qualifications:

  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Ability to manage sensitive and confidential information with discretion.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Excellent written and verbal communication skills and being able to interact with people of all levels in a confident, professional manner.
  • Take initiative and exercise judgement in complex and ambiguous situations.
  • Ability to work independently with minimal supervision and as part of a team.

Pay: $52,000.00 - $62,000.00 per month
