1. Job Purpose
The Franchise Coordinator / Executive (Overseas) is responsible for coordinating and supporting the company’s international franchise expansion and overseas franchise operations.
The role acts as a key coordination point between HQ, overseas franchisees, suppliers, contractors and internal departments, ensuring that franchise projects are properly managed from franchise onboarding and store development through pre-opening, outlet launch and post-opening support.
The position is responsible for supporting franchisees in maintaining the company’s brand standards, SOPs, food quality, service standards and overall operational requirements.
2. Key Responsibilities
A. Overseas Franchisee Coordination
- Act as a key point of contact between HQ and overseas franchise partners.
- Maintain effective and professional communication with franchisees.
- Respond to franchisee enquiries and coordinate solutions with the relevant HQ departments.
- Follow up on franchisee requirements, deadlines, documentation and outstanding matters.
- Arrange and coordinate regular meetings with overseas franchise partners.
- Monitor franchisee concerns and escalate major issues to the Franchise Manager or Management when required.
- Maintain proper records of franchisee communications and follow-up actions.
B. Franchise Development & Onboarding
- Support the franchise development team in coordinating with potential overseas franchise partners.
- Assist in preparing franchise presentations, information and required documentation.
- Coordinate franchise application, onboarding and supporting documents.
- Assist with franchise meetings, site visits and business discussions.
- Coordinate franchise agreement documentation with Management and relevant departments.
- Prepare and maintain franchisee onboarding schedules and checklists.
- Maintain an updated database of franchisees, potential franchise partners and project pipelines.
C. Overseas Store Development
- Coordinate overseas store development activities between franchisees and HQ.
- Assist in reviewing proposed site information and coordinating site approval processes.
- Follow up on renovation, construction, equipment, signage and store setup progress.
- Coordinate with contractors, suppliers and relevant parties during the store development stage.
- Monitor project timelines and key milestones.
- Identify potential delays or issues and escalate them to the relevant parties or Management.
- Maintain project trackers and provide regular progress updates.
D. New Outlet Opening & Pre-Opening Coordination
- Prepare and maintain overseas outlet opening checklists and timelines.
- Coordinate pre-opening activities with franchisees and internal departments.
- Ensure key operational requirements, including equipment, furniture, POS systems, uniforms, packaging and operational materials, are ready before opening.
- Coordinate staff recruitment and manpower requirements with the franchisee where applicable.
- Arrange training and operational support from HQ.
- Coordinate soft opening and official opening preparations.
- Monitor outlet readiness and ensure outstanding matters are followed up before opening.
- Provide coordination support during overseas outlet openings when required.
E. Operations & Brand Standards
- Coordinate with the Operations team to ensure franchisees understand and follow company SOPs and brand standards.
- Support franchisees with operational enquiries and coordinate solutions with the relevant HQ departments.
- Follow up on issues relating to food preparation, service standards, hygiene, quality and customer experience.
- Coordinate outlet audits, inspections and follow-up actions.
- Monitor compliance with approved operational procedures and brand standards.
- Assist in tracking corrective action plans and improvement measures.
- Collect operational feedback from franchisees and report key issues to Management.
F. Training Coordination
- Coordinate pre-opening and ongoing training for overseas franchisee teams.
- Work closely with Training and Operations teams to arrange training programmes.
- Ensure franchisees receive the latest SOPs, training materials and operational manuals.
- Monitor training completion and staff readiness before outlet opening.
- Coordinate refresher or additional training when required.
- Maintain training records and follow up on outstanding training requirements.
G. Supply Chain & Procurement Coordination
- Coordinate with Purchasing and Supply Chain teams on approved suppliers, products and operational requirements.
- Assist franchisees with product specifications and approved purchasing procedures.
- Follow up on overseas ordering, shipment and delivery schedules.
- Monitor the availability of key ingredients, packaging, equipment and operational supplies.
- Coordinate and escalate supply chain issues that may affect outlet operations.
- Maintain communication between franchisees, suppliers and HQ on procurement-related matters.
H. Marketing Coordination
- Coordinate overseas marketing and promotional activities with franchisees and the Marketing team.
- Ensure marketing materials and promotional activities follow company brand guidelines.
- Coordinate the preparation of menus, menu boards, promotional materials and digital assets.
- Assist with the collection of feedback and results from overseas marketing activities.
- Support localised marketing initiatives, subject to HQ approval.
I. Performance Monitoring & Reporting
- Assist in monitoring overseas franchise and outlet performance.
- Track key information relating to sales, operational performance, customer feedback and compliance.
- Maintain franchise project trackers and performance records.
- Prepare weekly and monthly reports for Management.
- Highlight project delays, operational risks and major issues.
- Follow up on action items and corrective measures with relevant departments and franchisees.
- Ensure reports and updates are submitted accurately and on time.
J. Documentation & Compliance
- Maintain proper records of franchise projects, meetings, agreements, audits and action items.
- Coordinate the collection and submission of required franchise documents.
- Assist in following up on licences, permits and regulatory requirements with relevant parties.
- Ensure franchisees submit required information and documents within the required timeline.
- Maintain accurate and organised franchise documentation and project records.
K. HQ Cross-Department Coordination
Work closely with the following departments to support overseas franchise projects and operations:

Job Requirements
Education
- Diploma or Degree in Business Administration, Hospitality, F&B Management, International Business or a related field.
Experience
- Minimum 2–4 years of experience in F&B, franchise, retail operations, project coordination or business development.
- Experience in franchise operations or overseas projects is highly preferred.
- Experience in restaurant chains, Kopitiam or multi-outlet F&B operations will be an added advantage.
Skills & Competencies
- Strong communication and coordination skills.
- Good written and spoken English.
- Additional language skills will be an advantage.
- Strong organisational, planning and follow-up abilities.
- Good knowledge of Microsoft Office, particularly Excel and PowerPoint.
- Good project coordination and time-management skills.
- Strong problem-solving and interpersonal skills.
- Able to communicate professionally with overseas business partners and internal stakeholders.
- Basic understanding of F&B operations, franchise systems and outlet opening processes is an advantage.
- Willing and able to travel overseas when required.
Pay: RM3,000.00 - RM5,000.00 per month
