Responsibilities
We are seeking a highly organised, digitally savvy and business-oriented Executive Assistant, Corporate Office in a leading private university in Malaysia.
The successful candidate will provide high-level administrative and operational support, including managing schedules, preparing meeting materials, coordinating communications and tracking key actions and deadlines. The role also requires strong financial and business literacy, with the ability to interpret information, prepare business proposals, develop high-quality presentations and support management reporting.
The Executive Assistant will also assist with digital communications and maintain selected social media postings, ensuring content is accurate, timely, professional and aligned with the university’s brand.
Key Responsibilities:
Provide comprehensive executive and administrative support to the CEO and COO Offices, including managing schedules, appointments, correspondence, meetings and day-to-day executive priorities.
Prepare and coordinate business proposals, management reports, briefing papers, presentations, meeting materials and executive summaries for the CEO and COO.
Support budgeting, financial analysis, business planning, operational reporting and the preparation of management information to facilitate informed decision-making.
Conduct research, analyse and synthesise information from internal and external sources and provide relevant insights and recommendations to support strategic and operational decision-making.
Coordinate and follow up with internal departments, senior management and external stakeholders on matters assigned by the CEO and COO, ensuring timely responses actions and deliverables.
Assist in coordinating social media content, digital communications and corporate communications for the CEO and COO Offices, ensuring content is timely, accurate and aligned with organisational priorities.
Support the CEO and COO in coordinating key projects, initiatives, events and special assignments, including monitoring timelines, deliverables and progress.
Serve as a key liaison between the CEO and COO Offices and internal and external stakeholders, ensuring effective communication, coordination and professional representation of the Offices.
Monitor and manage incoming correspondence, requests and follow-up matters, prioritising items requiring the attention or decision of the CEO and COO.
Undertake other duties, special projects and assignments as directed by the CEO and COO.
Key Requirements:
Bachelor’s degree in Business Administration, Finance, Management, Communications or a related field.
At least 5 years’ experience as an Executive Assistant or in a similar role.
Demonstrate strong financial and business acumen, with excellent research, analytical, writing, presentation and communication skills to support executive decision-making.
Possess advanced proficiency in Microsoft Office, particularly PowerPoint and Excel, as well as digital collaboration, social media and content scheduling tools.
Highly organised, resourceful, discreet and detail-oriented, with the ability to manage multiple priorities and confidential matters; experience in higher education or a complex organisational environment is an advantage.
