Role Overview

We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support the Executive Director, who oversees Rurutiki’s Shared Services team (Creative, Customer Engagement, Social Commerce, IT & Data Strategy). This is a high-trust role that requires exceptional coordination skills, business acumen, and the ability to engage with senior leaders and cross-functional teams confidently.

Job Description

  • Act as the first point of contact and liaison between the Executive Director and HODs, team leads, external stakeholders, and vendors.
  • Represent the Executive Director in internal meetings when necessary, ensuring accurate communication and follow-ups.
  • Coordinate strategic initiatives and monitor deliverables across all HODs/Shared Services functions.
  • Manage internal calendars, workflows, and cross-functional timelines with agility and precision.
  • Prepare professional-grade PowerPoint decks for leadership meetings, company town halls, and partner briefings.
  • Maintain and update performance trackers, dashboards, and reports using Excel and/or Google Sheets.
  • Schedule, organize, and take minutes in leadership meetings, ensuring follow-through on action items.
  • Draft internal communication, reports, and executive memos with clarity and professionalism.
  • Assist in tracking strategic initiatives, OKRs, and projects that cut across departments.
  • Create templates, SOPs, or systems to streamline recurring workflows and reporting.

Job Responsibilities

  • Bachelor's Degree in Business Administration, Communications, or a related field.
  • 3–5 years of experience supporting senior leadership
  • Proficiency in Microsoft PowerPoint and Excel (pivot tables, charts, VLOOKUP, etc.).
  • Strong interpersonal and communication skills to work effectively with senior leaders.
  • Ability to adapt quickly and manage multiple priorities in a fast-paced environment.
  • Strong PowerPoint and Excel proficiency (pivot tables, charts, data summaries).
  • Excellent time management & organizational skills with ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • High degree of confidentiality, professionalism, and discretion.
