About the Role

We are looking for a dedicated and technically skilled Logistic Clerk. In this hands-on role, you will be need plays a vital operational support role in managing the end-to-end documentation, customer order processing, and administrative workflows within an automotive/OEM manufacturing supply chain.

Key Responsibilities

1. Customer Order Processing & Online Systems Management

  • Monitor and record daily customer orders from manual systems (email) and customer online portals, including Ingress, Perodua (PM), PHN, Delphi, Isuzu, Autokeen, Zenig, Honda, Proton, and others.
  • Print labels and Delivery Orders (DO) daily from the PROMISE online system (Perodua Global Manufacturing - PGM) and ESIM (Perodua Manufacturing) for stock issuance across all involved sections.
  • Hand over processed customer orders to storehands before 10:00 AM daily (covering Proton, PPC, Perodua, Perodua Sales, Zenig, ZF, Hicom-Teck See, etc.).
  • Notify customers verbally or in writing immediately if any customer order cannot be fulfilled.

2. Delivery Control & Operations

  • Prepare and update Delivery Orders (DO) for dispatch according to customer Delivery Instructions (DI) and Purchase Orders (PO).
  • Assist the store team in arranging daily customer delivery transport, including organizing Premium Freight when required.
  • Ensure lorry drivers retrieve empty polyboxes/pallets from customer sites during delivery runs.
  • Track, record, and summarize the movement of incoming and outgoing polyboxes/pallets.

3. On-Time Delivery Tracking & Document Reconciliation

  • Update and monitor the 100% On-Time Delivery (OTD) status for all customer shipments after every dispatch (including Mix Customer orders).
  • Ensure returned DO copies (including yellow copies for DDS P2 and all customers) are retrieved and updated post-delivery.
  • Perform reconciliation directly with customers whenever document or quantity discrepancies occur.
  • Prepare monthly delivery summaries for key accounts (PMSB, Honda, PGMSB, Proton TGM, Proton SA, etc.).

4. Finance & Billing Administration

  • Execute the DO billing process to generate customer invoices.
  • Update and submit all DOs alongside a weekly DO summary to the Accounts Department every week.
  • Assist the Accounts Department with payment processing and following up on customer payment claims.
  • Record monthly order volumes and prepare the Monthly Sales Forecast.

5. Documentation & Records Management

  • Maintain up-to-date and organized filing for all logistics documentation:
  • Delivery Instructions (DI) & Purchase Orders (PO) for all customers.
  • DO copies (Invoice & Non-billing) and DDS DOs.
  • Gate Pass copies for incoming/outgoing factory goods (White Copy).
  • Delivery Stock Status reports and Logistics Skill Charts.
  • Logistics Training Plans.

6. Store HR & Office Administration

  • Track daily attendance, leave applications, and Medical Certificates (MCs) for all store personnel.
  • Process monthly Overtime (OT) applications and claims for store staff and submit them to HR.
  • Ensure effective office maintenance, keeping the logistics office clean, orderly, and presentable.

7. Quality & Compliance

  • Comply with and support all operational methods defined under IATF 16949.
  • Take proactive preventive steps to address any product, process, or Quality System (IQM) abnormalities.
  • Execute additional tasks and instructions assigned by management.

Who are we looking for?

  • SPM, STPM, or Diploma in Logistics, Supply Chain Management, Business Administration, or equivalent.
  • At least 1–3 years of experience in logistics administration, store operations, or customer order desk (preferably within the automotive manufacturing sector).
  • Team player with effective communication skills.
  • Proactive, organized, and able to follow technical procedures accurately.

Pay: RM1,800.00 - RM2,500.00 per month
